The Civil and Environmental Engineering Department (CEE) seeks a well-qualified candidate for a 100% FTE Administrative Associate position. This position provides a full range of office administrative support to faculty in the Sustainable Design and Construction (SDC) program, the Architectural Design program, the Construction Institute, and other faculty and programs in the department. As part of a collaborative team of staff in CEE, the Administrative Associate will support exciting research, programs, student groups and events through daily interactions with professors, students, and academic and administrative staff.
Your responsibilities include:
University financial operations including purchasing, reimbursements, corporate card use and oversight, revenue processing, account reconciliation and expenditure control.
Teaching and course support for faculty, adjunct instructors as well as graduate students.
Coordination of seminar series, colloquia and special events, including events, courses, seminars or conferences for the Architectural Design program, for the Construction Institute (an industrial affiliates program), and for other programs and initiatives.
Support the SDC graduate admissions process in coordination with CEE student services staff.
Support student and alumni events and activities in the Architectural Design program.
Initiate the appointment of graduate student research and teaching assistants as well as postdoctoral scholars; support for planning and monitoring student support and associated expenses
Support for faculty affairs activities in coordination with faculty leaders as well as the Faculty Affairs and Staffing Manager.
Operational or administrative project support for faculty- or student-led research projects, competitions, and presentations.
Shipping/receiving, facilities coordination, and other operational support duties and general office tasks.
To be successful in this position, you will bring:
A high school diploma and four years of administrative experience, or combination of education and relevant experience. A four-year college degree is preferred.
Proficiency in computer skills and demonstrated experience with office software and email applications. MS Office, Outlook, and Google Drive experience preferred.
Demonstrated success in following through and completing assigned tasks.
Strong organizational skills and attention to detail.
Strong verbal and written communication skills.
Excellent customer service and interpersonal skills.
An ability to prioritize and multi-task.
A high-level of responsiveness, with logical decision-making skills.
In addition, preferred requirements include:
A four-year college degree.
MS Office, Outlook and Google Drive experience
Constantly perform desk-based computer tasks.
Occasionally stand/walk, reach/work above shoulders, grasp lightly/fine manipulation, grasp forcefully, use a telephone, sort/file paperwork or parts, lift/carry/push/pull objects that weigh up to 10 pounds.
Rarely twist/bend/stoop/squat, kneel/crawl.
