Position SummaryThe Office of Residence Life plays a vital role in the success of Simmons University and its students by providing quality facilities, services, and programs that contribute to the mission of the University. Our comprehensive student-centered residential program houses over 900 students. We offer our students an array of housing options to enhance their learning experience, including Theme Communities. The Housing Operations Coordinator (HOC) is responsible for managing housing operations for the residential student population. This position also processes purchase requests, submits payments to internal and external vendors, and assists in maintaining budget records for the Office of Residence Life. The HOC will supervise a Graduate Coordinator and five Office Assistants. Job DutiesSupervise and evaluate Graduate Coordinator and Office Assistants;Oversee the housing application, housing selection, housing assignment, and contract release processes;Process housing applications and deposits for new and continuing students, including meal plans;Manage the assignment of all on-campus housing spaces for residence halls;Process housing accommodation requests approved through the Office of Accessibility Services;Facilitate room changes throughout the year in collaboration with the Area Coordinators;Conduct the occupancy verification process for fall and spring semester;Create and distribute occupancy reports;Work in collaboration with Information Technology and StarCare on troubleshooting, generating reports, and setup and maintenance of StarRez;Send communications to students about planned or emergency facilities work needing to be done in or near the residence halls;Maintain timely and accurate content on the Office of Residence Life webpages;Partner with Communications staff members to send housing information to students and families via social media and other formal communication channels;Respond to student and family concerns regarding housing assignment, meal plan and billing questions and concerns;Assist with fall and spring student move-in and move-out of the residence halls;Coordinate the early arrival process for students who need to return to campus prior to the halls officially opening each semester;Maintain the residence hall room key inventory;Manage purchasing, payment and reconciling processes connected to Residence Life budget;Assist in the assessment of Residence Life programs, process and initiatives;Participate in the recruitment and selection of all levels of staff in the department;Participate in training for professional, graduate and student staff;Serve, as a representative of the Residence Life department, on division and university-wide committees;Participate in presentations and panel discussions for Admissions events;Collaborate with other university offices, such as Facilities, C&W (Custodial), Student Financial Services, Dining, Office of Accessibility Services, Center for Global Education, Spiritual Life, and Athletics;Assist the Director of Residence Life with projects, assignments and tasks as assigned.Knowledge, Skills and Abilities Required Master?s degree in College Student Personnel, Higher Education, Counseling or a related field;A minimum of 1 year graduate or postgraduate Residence Life experience;Experience working with and addressing the needs of diverse communities;Demonstrated commitment to student development, persistence and success;Knowledge of quality customer service practices and specifically how to successfully address student and parent concerns;Knowledge of StarRez or other similar housing database software programs;Excellent communication (written and verbal), interpersonal skills and attention to detail;Demonstrated understanding of the educational environment at a diverse, private, urban institution;Ability to exercise considerable judgement and discretion in establishing and maintaining good working relationships;Ability to demonstrate a commitment to service excellence embodying Simmon?s core values, mission, and vision in every aspect of the role working with students, faculty, staff, and visitors;A positive and professional demeanor is expected;Demonstrated proficiency in Microsoft Office Suite including Word, Excel, and Outlook.
