THIS IS AN INTERNAL POSITION
JOB SUMMARY/ESSENTIAL JOB FUNCTIONS:
The Assistant Vice Chancellor (AVC) will work with the vice chancellor to manage the operations of the Office of the Vice Chancellor of Academic, Faculty and Student Affairs (AFSA) and special projects related to the office's and the university's mission and vision. Working intensively with the vice chancellor and collaboratively with the vice chancellor's senior leadership team, the AVC will help coordinate the efforts of the various divisions while helping to maintain transparency and accountability in all matters related to academic, faculty, and student affairs. The AVC will oversee and in many cases co-create processes that ensure the flow of information to all stakeholders and the meeting of internal and external deadlines. The AVC will also oversee central communications. The primary purpose of the position is to enable the vice chancellor to spend more time in strategic conversation and planning with deans, vice chancellors, the chancellor, and the chancellor's cabinet members.
Qualifications
DUTIES AND RESPONSIBILITIES :
- Manage AFSA special projects & initiatives to ensure they are carried out in a timely & effective manner.
- Assist with facilitating the campus' strategic planning process & communications relating to that process.
- Coordinate major initiatives of the VC's office to make sure appropriate units are interacting, sharing needed information, & meeting goals & deadlines.
- Assist VC & associate/assistant vice chancellors (A/AVC) in the work they do with the UT System office to make sure that information is shared back with each other, the vice chancellor, & other campus decision makers. Manage AFSA special projects & initiatives to ensure they are carried out in a timely & effective manner.
- Work with the AFSA executive team to coordinate, support, & manage operations to promote the university's strategic goals.
- Manage office operations to facilitate service to all constituents.
- Keep the VC informed of initiatives undertaken by the A/AVC.
- Support & facilitate team building within AFSA.
- Track & manage impending deadlines on all issues related to academic, faculty, & student affairs.
- Coordinate search process & hiring of all direct reports to the VC.
- Advise on policies & procedures that relate to the critical functions of the office.
- Work with Finance & Administration, HR, & Institutional Effectiveness to provide the AFSA executive team with timely data and strategic insights.
- Supervise the position of coordinator, marketing & communications.
- Manage AFSA communications with major stakeholders, including the chancellor's cabinet & the faculty senate.
- Work with the executive support staff (administrative assistants to the VC, A/AVC) to ensure preparation of relevant documents & briefing material, including speeches, for AFSA internal and external events.
- Prepare agenda & follow-ups for VC meetings with deans and others.
MINIMUM REQUIREMENTS:
EDUCATION: PhD, EdD, ScD or any equivalent academic doctoral degree or doctoral degree in a health professions discipline. (TRANSCRIPT REQUIRED)
EXPERIENCE: Three (3) years of experience in a highly complex organization such as a university or healthcare institution; leadership and administrative experience or experience coordinating or managing projects in a healthcare setting/discipline. Three (3) year of experience in an academic health science center preferred.
