Description
Reporting to the director, Center for Career and Professional Development (CCPD), the Career Development Administrative Assistant is responsible for providing administrative support for the department operations, and administrative support for the director of the CCPD. Duties include communications to students, representing the office at events, managing the front office reception, answering all emails, phones, Handshake database questions, and assists with making appointments for students and Alumni with career staff. Provides assistance to employers with posting jobs and internships, arranging info sessions and meetings with industry reps with the Director, departments chairs and faculty. Assist with budgets , petty cash, and processing department invoices and expenses. The position requires a high level of attention to detail, and relationship building, offering excellent customer service for diverse audiences to promote a welcoming and positive environment for all stakeholders.
Examples of Duties
Administrative Duties and Responsibilities:
The Administrative Assistant will be responsible for fostering a welcoming front office experience and provide excellent customer service.
Greet visitors to the office and direct them appropriately.
Answering, screening and forwarding incoming phone calls.
Responds to department email(s), forwarding as needed as well as directing students to appropriate resources.
Receive mail and deliveries.
Schedule meetings for the Director and manage their calendar.
Cross trains with other reception staff and ISC departments to fill in as needed.
Supervisor for CCPD student workers
Responsible for assisting the Director with budget management. Handles all check requests, purchase orders, CCPD petty cash, and the Director's expenses reconciliations.
Organizes all furniture purchases and facilities requests for the CCPD, computer upkeep and equipment repair.
Order and maintain inventory of office supplies.
Manage student worker computer stations.
Schedules and coordinates travel for director and assists staff with travel expenses, cc authorizations, and reimbursements.
Communication:
Work closely with CCPD staff to assist with marketing events and programs.
Update CCPD Handshake, google Events calendar and Engage listings.
Responsible for department communications via posters, emails, TV screens, etc.., promoting events, career opportunities, industry news, jobs and internships, student on campus jobs, and other CCPD content via Handshake, OnePratt messenger, Instagram, mail merge and other appropriate outlets.
Coordinate distribution of monthly newsletter via Handshake including supervising student workers who create the publication
Manages CCPD social media, website edits and OnePratt updates.
Maintains effective and efficient communication with all internal and external partners.
Events:
Represents the CCPD at all divisional and institutional events, tabling as needed, providing the meet and greet presence at Admitted students day, Grad Fair, Pratt Quest, Orientation, Family weekend, Wellness Fair, Pratt Shows.
Support set up for campus/student affairs events as needed.
Attends other events as needed by the director.
Handshake:
Manages the day to day operations of the Handshake database
Point person for the vendor, IT, and troubleshoots for staff, students and alumni.
Initial contact point for Handshake troubleshooting and general support for employers.
Manages the appointment calendar for student and alumni scheduling, coordinating availability with career advisors, adjusts hours and appointment type blocks.
Manages all job and internship postings, and ensures opportunities are listed accurately and are appropriately targeted for the Pratt community.
Assists industry partners in posting and marketing their positions to the appropriate student and alumni majors.
Downloads reports and tracks metrics set by the director.
Other:
Actively engage in professional development activities in areas assigned by the Director.
Required to work some evening and weekend hours.
Perform all other related duties as assigned.
Qualifications
Skills and Experience:
Excellent communication skills with the ability to work on a team and follow instructions.
Independently Proficient in the Google Suite applications.
Exceptional customer service skills.
Exceptional organizational skills.
Preference will be given to candidates with documented experience working with English Language Learners, diverse and at-risk populations.
Experience working with college student populations or creative practitioners is a plus.
Education:
High School or GED required, BA preferred.
