Job Description: What We Are Looking For Baylor University is seeking an Administrative Manager to support the mission and vision of Baylor University and serve within the Environmental Science Department. The Administrative Manager will be responsible for managing departmental day-to-day operations. The successful candidate will have strong organizational and time management skills, be detailed oriented, and have expertise in providing excellent service to faculty and students. The candidate must be a self-starter and work well in a team environment.
An Associate Degree and three years of relevant work experience are required. A Bachelor's Degree and five years of relevant work experience are preferred. A combination of education and work experience will be considered in lieu of the required degree and/or years of experience.

What You Will Do
Services Administration and Operations
Work with Department Chair on management of resources and communications
Assist planning and scheduling business meetings, faculty meetings, faculty-staff retreat, spring kick-off, and other events. Follow-up as needed regarding any action steps
Assist Department Chair with external advisory board
Schedule monthly and weekly department office meetings
Lead staff in working with financial managers and financial administrators
Manage capital and contracted services process
Maintain Webpage and social media (i.e., Facebook, Twitter, Instagram, LinkedIn)
Oversee processing of electronic and paper copies of Ignite Packing Slips
Conduct Ignite training as needed for faculty, staff, and students
Work with faculty on processing scholarships
Manage allocation of travel funding as well as travel requests (internal and external)
Oversee vehicle fleet management
Oversee and update information in electronic Box folders
Draft annual report
Oversee Aramark work orders as well as key and building access requests
Backup Academic Services Support
Support Graduate Program Director and Undergraduate Program Director through work of Graduate Program Coordinator and Undergraduate Academic Support Associate
Work with faculty and staff on catalog changes, curriculum action, teaching schedules, marketing, recruitment events, prospective student and family visits
Work with graduate program director and coordinator on Ph.D. recruiting
Schedule seminars on departmental calendars; Update bulletin boards
Process conference vendor support materials
Purchase promotional materials
Maintain course syllabi in electronic Box folders
Assist faculty with Welcome Week Activities for graduate and undergraduate students
Development
Write and process annual and monthly donor letters
Manage expendable endowment funds
Assist Department Chair with donor development
Space Personal Support
Serve as member of Department of Environmental Sciences Leadership Team
Oversee and support work of departmental staff roles, which currently includes a Graduate Program Coordinator
Coordinate with College and campus partners on administrative processes on behalf of Department of Environmental Sciences, including but not limited to Human Resources, Dean's Office in College of Arts & Sciences, and Provost's Office
Support annual faculty and staff review processes
Coordinate faculty and staff recruiting processes, including marketing open positions and scheduling campus visits for candidates
Process temporary lecturer hires, faculty teaching overloads, and supplemental pay
Manage staff recruiting including drafting job descriptions and scheduling campus visits
Process faculty, staff, contingent worker, and student separations, also ensuring Financial Manager reviews and/or has awareness of related PAF submissions
Oversee work study students hiring and separation
Research Administration
Work with Department Chair and Financial Manager in development of faculty start-up budgets
Oversee research lab openings, moves, and closeouts
Arrange visiting scholar logistics and required on-campus processing
Space Management
Assist Department Chair in overseeing space management including teaching labs, research labs, and offices
Request quotes for furniture orders
Oversee faculty and staff office moves and moveouts
Perform all other duties as assigned to support Baylor's Mission
Ability to comply with university policies
Maintain regular and punctual attendance
