DESCRIPTION
Sixth College is one of the undergraduate colleges at UC San Diego and is home to over 5,000 students. Sixth prepares students to become effective global citizens who engage creatively and ethically with the complex issues facing the world in the 21st Century. Under the supervision of the Associate Dean of Student Affairs/Director of Residence Life, this position provides administrative support to the Associate Dean of Student Affairs/Director of Residence Life, Assistant Directors of Residence Life, and Residence Life Office Operations Coordinator. In collaboration with the Residence Life Office Operations Coordinator, the position recruits, supervises, trains, and provides professional development opportunities for student support staff at the desk and affiliated spaces (e.g., Digital Stage, RA workroom, storage spaces). The position coordinates the residence life reception area and directs the daily workflow of the student employees working at the desk and affiliated spaces The position manages the room assignment and room change processes using the housing assignments database (RMS/Mercury) and room access systems (Persona), working closely with HousingDiningHospitality Assignments and sharing information with the Hospitality Information Desk. The position also makes and maintains key packets for A/DRL use during an emergency resident relocation. The position audits and arranges staff master keycard and master hard key access. The position organizes and executes Sixth College student move-in and move-out each quarter. In collaboration with the Residence Life Office Operations Coordinator, the position manages the notification and follow-up communication with students who have been referred to the student conduct system. The position manages the primary office e-mail, telephone, and social media communication as well as updates the residence life webpage using the Content Management System. The position schedules use of event facilities under Sixth Residence Life control. Finally, the position coordinates and facilitates semi-weekly meetings with community partners in HousingDiningHospitality (sp. Dining, Custodial, maintenance, Hospitality Information Desk).
Occasional overtime, weekend, or night work may be required during peak periods (opening, closing, University events).
This position offers a hybrid work arrangement, which includes a combination of onsite and remote work.
QUALIFICATIONS
Knowledge of residential housing operations in a university setting.
Experience working in an office/administrative setting, preferably in a college or university environment.
Demonstrated experience with business productivity applications including, but not limited to, Word, Power Point, Outlook, Publisher and Excel and ability to learn new software programs. Experience with or ability to quickly learn Content Management System (CMS) for website updates.
Demonstrated knowledge of proofreading, grammar, punctuation, spelling and standard business formats.
Demonstrated ability to work both independently and in cooperation with others to accomplish assigned tasks.
Effective interpersonal and verbal communication skill with the ability to clearly, courteously, and diplomatically communicate information to a diverse group of people (including students, parents, staff, and the community) in person, on the telephone, and via e-mail in a professional manner.
Demonstrated ability to work under pressure, with frequent interruptions while performing multiple tasks.
Demonstrated ability to exercise discretion, tact and diplomacy in handling sensitive matters and maintaining strict confidentiality.
Skill in maintaining filing systems for rapid/easy retrieval by self or others.
Ability to initiate and track various issues and follow-up to ensure timely completion of projects.
Ability to operate standard office equipment (e.g, copier, printer, fax machine).
Demonstrated ability to answer, screen, and direct calls/visitors and take complete, accurate messages.
