Job Summary:
The Administrative Assistant, Access Barnard, serves as a member of the Access Barnard support staff team. The Administrative Assistant provides administrative, technological, and general assistance to the department. The Administrative Assistant will perform delegated tasks and provide general assistance in the Office, including serving as a receptionist. Assistants will serve as the first contact for students and guests within Access Barnard. This position will assist the department with all programmatic efforts and the implementation of multi-level strategies that support the college-going experience for students who identify as international, first-generation and/or low-income.

1. Serve as the first point of contact for the Access Barnard Office:
a)Open office at 9:00 a.m. daily
b)Day-to-day duties include word processing; proofreading and editing of
written materials; photocopying; faxing; sending and responding to email;
coordinating the printing, sending, and distributing of mass mailings,
reports, publications on behalf of the department sometimes utilizing
graphics and desktop publishing.
c) Record & follow-up on verbal and written inquiries from current students,
prospective students, faculty, alumnae, and other campus partners.
d) Answer telephones, direct calls, transmit messages for the Access
Barnard department. Make phone calls on behalf of the department.
e) Forward situations and issues presented by students, staff, faculty,
and external constituents to appropriate staff members for resolution.
f) Maintain neat, pleasant office environment;
g) Under direction of the Access Barnard leadership, stay up-to-date on
campus operations, policies, and procedures to answer questions and refer
to helpful campus resources.
2. Schedule, organize, and publicize meetings and events; reserve rooms, prepare materials, and order food. Draft and prepare written programs for events and ceremonies. Arrange seating charts. Take minutes at meetings as directed. 3. Prepare, maintain, and update College, national, and state databases, and reports.
4. Assist in the gathering and collating of results from surveys and other assessment efforts of the department. Assist with the interviewing, hiring, training, and supervision of student employees during the academic year, summer, and with coordination of the peer mentor/advising program.
5. Help maintain Directors' schedules. Communicate with offices throughout the College and University, and assist with programmatic and schedule coordination efforts.
6. Provide administrative support for key projects and events under all Access Barnard units (Opportunity Programs, International Student Services, and First-Generation and/or Low-Income (FLI) Initiatives).
7. Develop and maintain academic resources room for office use; distribute and follow up on the distribution/collection of laptops; record loans/returns of borrowed books and materials/calculators. Oversee Lending Library software and process for students to utilize resources.
8. Order and track all office supplies
9. Provide general and budgetary clerical assistance for the department. Prepare departmental purchase orders, requisitions, check requests, and credit card reconciliation.
10. Maintain and update website content for all web pages, blogs, and digital newsletters related to Access Barnard
11. Ensure the confidentiality of all student documents and information. Assist with collection of student data and prepare data reports as assigned.
12. In coordination with Access Barnard Office administrative staff, create and maintain an office operations manual.
13. Perform related duties as required.

- Experience and interest in working with an educationally and financially disadvantaged population.
- The ability to absorb detail and multitask is essential.
- Diplomacy and the ability to work as a team member are essential.
- Maturity, sensitivity, tact, judgment, and ability to maintain confidentiality
- Ability to contribute to the tone of professionalism in the office and to remain calm and flexible under pressure.
- Familiarity with an academic environment preferred.
- Excellent written, public speaking and interpersonal skills.
- Ability to exercise judgment and tact in dealing with the students and other constituents.
- Proficient typing and organizational skills with attention to detail.
- Proficiency using social media platforms.
- The ability to understand and adhere to college and national policy and to decipher between confidential and need-to-know information is a must.
- Ability to learn and use various digital platforms and applications, including but not limited to Slate, Advocate, Qualtrics, Google Drive, and other products and services.
QUALIFICATIONS
- Minimum 2 years of college
- Minimum 2 years of related consistent office experience
- Experience and/or interest in working with educationally and
- financially disadvantaged population
- Ability to exercise judgment and tact in dealing with the students and the public.
- Ability to work flexible, evening hours
- Excellent verbal and written communication skills along with proficient typing and organizational skills
- Must be familiar with Macintosh and Dell PC computers; proficient with Microsoft Office programs, Google (Docs, Forms, Drive, etc.), Adobe Pagemaker.
Salary: $31.25 - $31.25 /hour (annualized rate ~ $56,875)
The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the College's good faith and reasonable estimate of the range of possible compensation at the time of posting.
