The Operations and Events Coordinator will organize and work collaboratively to envision, plan, and implement MCAEâ™s campus-wide signature events, including Kick Off and the Celebration of Achievement. The Coordinator will assist in the development and implementation of holistic support strategies, Living Learning Communities programming, and recruitment events and efforts. The Coordinator will supervise student staff and, with their support and in consultation with the Director, manage communications and front operations.
This position is a 100%, 12-month, annually renewable appointment in the academic professional personnel series (job code 9703MD, Stud Services Pro 3-SS Multidiscipline) and reports to the Director.
Duties and Responsibilities:
Supervision, Communications, and Front Operations (60%):
Supervision
Lead the planning and coordination of MCAE undergraduate student staff hiring process including development of application and process, and facilitation of review process, in consultation with the Director.
Coordinate all aspects of the MCAE Student Internship program in partnership with unit team members and in accordance with staff needs.
Supervise (interview, hire, train, direct the work of, evaluate) MCAE Interns.
Coordinate annual nominations process for student awards and scholarships.
Communications
Serve as primary staff lead of MCAE Newsletter and all social media platforms in collaboration with the Director and with support from MCAE Interns. This includes training and development in the area of various modalities including Canva, Mailchimp, Qualtrics, digital accessibility, and social media content campaigns.
Establish regular and strategic communications timelines to promote MCAE events and work with the Intern team to develop accessible marketing and outreach.
Update MCAE website and other forms of media as needed and/or at the direction of the Director.
Front Operations
Provide management of MCAE space including but not limited to:
Coordinate staffing (professional and student) needs and order swag for various tabling events as MCAE is invited by campus partners throughout the year.
Manage Central email accounts and Google Shared Drive for MCAE.
Manage ordering and maintenance of office supply stock of all physical spaces.
Maintain all office subscriptions and memberships (e.g., Canva, Mailchimp, water, etc.).
Provide 5-8 hours of coverage of MCAE front desk space each week.
Responsible for data and file management that supports the unit, sustainability, and institutionalizing work.
Signature Events and Program Support (40%)
Serve as the primary staff lead for all logistical aspects of MCAEâ™s annual events/celebrations, such as Kick off and Celebration of Achievement, in partnership with the Director and unit team members. Responsibilities include, but are not limited to:
managing all related purchases, contracts, and space reservations
student staff recruitment, training, and development
coordinating the Kick Off curriculum planning committee
coordinating all efforts and programming with campus partners
developing some Kick Off curriculum
review the current Celebration of Achievement model and suggest and support the possible development of a new model
budget oversight in consultation with the Director
post-event reviews and analysis to assess/evaluate/improve experiences
Build and maintain relationships with campus partners for ongoing collaborative programming, especially as it relates to post-Kick Off and pre-Celebration of Achievement efforts.
Serve as MCAE Representative on the Welcome Week Advisory Board.
Serve as an effective spokesperson and ambassador for MCAE to external and internal constituents, including but not limited to events for new and prospective students and their families.
Ability to work evenings and weekends as needed to support events and programming.
Program Support
Supports the development and implementation of MCAEâ™s Living Learning Community (LLC) programming and Holistic Support programming.
Develop and implement event planning templates for MCAE.
Advise and support the Assistant Directors of LLC and Holistic Support with their programs, events, logistics, program budgets, and purchases.
Hold one-on-one holistic support meetings with students (4-hours of appointment slots per week).
Work in partnership with UMN community, unit team members, and student team to envision, develop, and implement continued programming and initiatives in alignment with MCAE vision and mission for 2nd-, 3rd-, and 4th-year students.
Other duties as assigned.
Salary commensurate with qualifications and experience. Anticipated salary range is $58,000 -$63,000.
This position will primarily perform work on campus with the option to work hybrid.
Required Qualifications:
Bachelorâ™s Degree with at least 4 years of work experience in related areas of administration, event planning, and/or student support
Able to clearly demonstrate knowledge and understanding of how to create strong academic support strategies for underrepresented, first generation, and marginalized students.
Demonstrated understanding of equity and diversity as they intersect with student development, administrative work, and/or event planning.
Excellent communication (verbal and written) skills.
Computer competency with Google Suite, Microsoft Office Suite, and Adobe.
Preferred Qualifications:
Masters Degree in Higher Education or related field.
Three years of full-time experience working in a college or university academic setting.
Experience working with Canva, Mailchimp, and/or Qualtrics.
