The Data & Student Services Associate provides support to the College of Engineering (COE) Assistant Dean/Sr Director, Co-op Leadership, and faculty Co-op Coordinators in the day-to-day workflow and effective operation of the co-op program, assists faculty Co-op Coordinators with projects to prepare students and guide co-op employer partners through the hiring process, and manages data reporting and administrative support for a large fast-paced team of 40+ co-op faculty and staff. Individuals in this role drive process improvements, building greater capacity through streamlined workflows and efficiencies.
Qualifications:
Bachelor's degree or minimum 2 years of equivalent professional experience in an academic or business/industry environment.
Demonstrated strong organizational and time management skills, including attention to detail and the ability to manage projects and complete tasks for multiple faculty and staff.
High level of proficiency with technology including Excel (complex formulas and logic).
Excellent verbal and written communication skills are expected with the ability to explain and distil technical concepts / processes in lay terms.
Willingness and desire to learn and contribute to the design of new processes, systems, and tools.
Comfortability working both independently and collaboratively among a team with diverse personalities and strengths.
Candidate should enjoy problem-solving and be very good at troubleshooting.
Key responsibilities:
Data and Operations Support (60%)
Assist with evaluating student hiring, events, and progress to university goals and initiatives by
Developing advanced reports, sometimes from multiple data sources
Creating and disseminating forms and surveys to collect information
Analyzing, summarizing, and/or visualizing data/information through Google Apps, Excel, Qualtrics, and other applications
Coordinate efforts to uphold the completeness and integrity of data in various co-op systems; serve as liaison with central co-op technology team.
Maintain relevant student and co-op databases including Banner, Argos, Salesforce and Symplicity; create and maintain processes to support student success including intent to co-op, course enrollment balancing, etc.
Manage the international student placement and CPT Authorization processes for COE Departmental students participating in the co-op program:
Communicate program placement & CPT Authorization progress for each co-op cycle through dashboards, tracker maintenance, and team-wide report outs.
Ensure, through a series of data integrity checks & error reports, that the COE Departmental Co-op Team maintains a near-zero error rate with the registrar in each co-op cycle.
Develop communication materials and manage distribution of timelines, reminders, events and surveys for employers and students.
Support work-study and/or Career Peer programs; effectively delegate projects and ensure completion to meet deadlines.
Student & Employer Support (40%)
Assist with preparation of co-op class materials; provide support for Canvas course administration and course enrollment activities.
Send regular communications & reminders to students, including information related to featured jobs, placement updates, CPT and CPT Updates
Escalate questions or student concerns when necessary to relevant individuals/teams (e.g. ITS, Co-op Coordinators, Office of Global Services, Department Leadership Team, etc.)
Lead and/or assist with organization of co-op related events and on-campus employer interviews.
Conduct industry research on companies and opportunities that align with the college's job development efforts.
Review employer evaluations and student self-assessments of the student co-op work experience.
Serve on committees to support student, employer, and team activities including COE Student Co-op Awards, Training and Mentoring, Communications, etc.
Data & Student Services Associates may be reallocated to different teams within COE Departmental co-op depending upon business needs.
