The Department of Industrial and Systems Engineering (ISE) maintains an internationally recognized research program with three core research areas (operations, applied statistics and production systems, and human factors and ergonomics) applied to health care, transportation, energy, and manufacturing. ISE prepares students for careers in a diverse and dynamically global environment, by providing them with the skills to foster a sustainable and safe future. Students learn to take a systems approach to problem solving and to recognize the larger societal impact of each engineering decision. The Department of Industrial and Systems Engineering has an outstanding opportunity for a Counseling services Coordinator – ES8 for our Professional programs.
Position Purpose & Complexities This position provides leadership and administrative oversight to a variety of programs in the Department of Industrial and Systems Engineering (ISE) including the Professional Master’s Program (PMP) and Certificates. We currently have one Professional Master Program: Master in Industrial and Systems Engineering (MISE). We are currently developing a new Master program. We also have two certificates run through Continuum College: Engineering Leadership (EL) and Global Integrated Systems Engineering (GISE). The position is the primary advising contact to current and prospective students and oversees all aspects of the administration and development of the Professional Master’s Program. This position also collaborates with the Chair and faculty coordinator in developing new initiatives and programs that strengthen and expand ISE relationships with industry and academic partners. This position reports to the Department Administrator with a dotted line report to the faculty coordinator of the ISE Professional Master’s Program.
With the expansion of initiatives under the professional program’s purview, the position requires the ability to multitask, prioritize job responsibilities, and utilize independent judgment in project planning, management, and implementation. It involves the ability to work collaboratively with faculty, students, staff, members of industry, and international partners. This position is tasked with program growth and requires the enlistment of relevant stakeholder participation in development and strategic planning for current and future programs and initiatives. This position will travel to universities both domestically and abroad. The growth of the Professional Master’s Program is a key goal for the department, and as such, this position plays a critical role in providing direction and leadership in recruiting, marketing, advising, and strategic program development. This position strengthens ISE’s relationships with industry and academia by managing the ISE Advisory Board, which is comprised of leaders of industry and faculty from highly ranked ISE departments. This position also has a global reach as it represents ISE through international recruitment and partnerships.
The ideal candidate will be team oriented with collaborative approach to work responsibilities and the desire to interact extensively with colleagues while being flexible, independent, and self-motivated. Proficiency using PCs, web page use/authorizing and familiarity with presentations graphics and publication software. Ability to interact with people from diverse backgrounds, including those for whom English is a second language. Superior administrative and organization skills, with the demonstrated ability to manage a high volume of varied, detailed tasks simultaneously in a fast paced, deadline-driven environment.
The primary duties are internal and external communications:
PROGRAM ADMINISTRATION AND DEVELOPMENT (40%) •Manage the daily operations of the ISE Professional Master’s Program (PMP) and associated certificates. Serve as a liaison to students, faculty, instructors, staff, and UW Continuum College/Professional and Continuing Education (UWC2/PCE). •Develop the annual PMP budget, determine the annual tuition rate, and create revenue projections. •Review and manage PMP financial and accounting activities supporting the annual budget and associated income. •In collaboration with the Faculty Coordinator, develop strategies for sustainable growth of the PMP by identifying key partnerships, recruitment and marketing strategies, industry trends, and curriculum opportunities. •Partner with the Faculty Coordinator in creating the yearly curriculum utilizing student, faculty, and industry feedback. Oversee course scheduling and development of the quarterly time schedule, coordinating with the Faculty coordinator and individual faculty members. •Develop new ISE Program course application materials and provide necessary approvals to add, change, and delete course offerings. Represent the program on the Curriculum Committee when PMP course offerings are being considered. •Compile statistics, reports, and analyses of program demand, applicant profiles, student progress, and enrollment trends. •Develop program recommendations to improve the quality of student experience and learning outcomes to maximize academic and career success.
ADVISING AND COUNSELING (15%) •Advise and counsel PMP students regarding academic goals, curriculum, degree requirements, and professional development opportunities. Respond to all phone, email, and in-person inquiries. •Lead and manage the comprehensive PMP admissions process. Provide guidance and recommendations to the admissions committee. •Develop and conduct new student onboarding sessions and orientation programming to ensure a seamless transition to the program and department. •Counsel students experiencing academic difficulties, administer the department satisfactory academic progress policy, and prepare probationary action when necessary.
MARKETING AND RECRUITMENT (25%) •Create a yearly marketing plan for the PMP in partnership with the PCE Marketing Team. •Provide direction on the creation of marketing materials such as web and video content as well as printed promotional materials to ensure effectiveness in relaying the ISE brand and key PMP value propositions. •Formulate a yearly recruitment plan for the PMP by evaluating effectiveness of recruiting methods and providing strategic ideas and recommendations for future efforts. •Represent UW ISE and PMP at university recruitment fairs both domestically and internationally, industry visits, and information sessions to recruit prospective students. •Make recommendations on how best to reach prospective student populations. Develop and administer programming for these events in-person or remotely and establish connections with local organizations and universities. •Works closely with the communications and marketing manager to promote and increase student enrollment to all our programs and certificates.
DEVELOPMENT AND MANAGEMENT OF SPECIAL PROGRAMS (20%) •Work directly with faculty members, department chair, and/or stakeholders on program goals, budget, and/or revenue projections. •Coordinate program activities with key organizations, departments, and internal units including attending conference to promote the program, Events, PR, faculty, and/or other staff. •Serve as the ISE liaison to community college outreach, and programs within UWC2. •In collaboration the department create the budget, revenue projections, and marketing efforts. •Identify and select appropriate instructors and teaching assistants to teach the ISE courses in the PMP programs. •Coordinate the Events team, PR team, faculty lead, ISEinstructors, and teaching assistants to ensure a smooth program implementation. •Collaborate with Payroll and Fiscal teams to ensure accurate budget allocations for salaries and program expenses.
Required Qualifications •Master’s Degree in educational leadership, student affairs, business, public relations, communications, or a related field. Equivalent experience can substitute for a degree requirement. •Two years of experience in public relations, communications, university advising or student services, or related experience. Demonstrated ability to effectively interact with faculty, staff and students.

Desired Qualifications: Professional experience in higher education, experience managing professional academic programs, and interacting with industry in a higher education setting. Familiarity with UW academic policies and procedures related to academics and curriculum for graduate programs. Thorough working knowledge of UW Student Database and MyGrad programs. Prior supervisory experience of administrative staff or student assistants.
Working Environmental Conditions: This is an in-person position but hybrid can be discussed.
