About the Graduate School Office of Career and Professional Development
Formed in 2022, the Graduate School Office of Career and Professional Development works with
graduate students and postdocs to explore various career options through individual advising,
workshops, and experiential learning opportunities and with faculty, graduate field staff, and partner
offices to raise awareness of career possibilities. We strive to empower students, strengthen skill
development and professional preparation, demystify the job search process, and connect students to opportunities and resources useful to their career interests.
The Opportunity
We are seeking a Career Development Assistant who will support various programs and services dedicated to enhancing graduate students' career success, facilitating their awareness and use of advising appointments, career development programs, platforms to connect with employers and alumni, and other career events and learning resources.
Key Responsibilities:
- Administration: Manage student requests for career advising appointments through forms and email, ensuring proper scheduling and answering foundational inquiries. Schedule office hours, info sessions, and document review sessions. Maintain records and manage Salesforce appointment notes with a focus on confidentiality. Direct visitors and manage inquiries, coordinating with other graduate support offices as necessary.
- Event & Program Support: Assist in planning career development workshops, alumni panels, and employer events. Handle event logistics such as registration, scheduling, catering, and travel reimbursements. Manage program budgets, order supplies, and track financial expenditures. Prepare materials and support programming timelines and tasks.
- Outreach Coordination: Track outreach efforts and compile content for newsletters and websites. Manage application materials for student-initiated projects and assist with reimbursement and procurement processes. Support experiential opportunities and assist with job/employer recruiting meetings for PhD students.
- Website Maintenance and Data Tracking: Develop reports on internal participation in career advising and curate job/internship postings. Maintain and update web pages to reflect current programs and opportunities. Manage project calendars and contribute data for annual reporting. Organize and enhance connection to PhD alumni.
This is a full-time (39 hours/week) endowed position that is based in Ithaca, NY and fully on-site. Work hours are 8am-4:30pm Monday through Friday.
What You Need
We are looking for a team member who is adept at problem solving, organization, and technology. Additionally, you will:
- Hold an Associate's Degree and 2 to 4 years of relevant experience or equivalent combination.
- Have experience in and/or demonstrated commitment to supporting diversity, equity, access, inclusion, and wellbeing
- Be comfortable incorporating the perspectives of multiple communities, including communities of color
- Communicate clearly and effectively, verbally and in writing
- Have the aptitude to thrive in a fast-paced and collaborative environment
- Utilize effective organizational skills to manage processes and deadlines
- Have strong attention to detail and skills in problem-solving
- Value providing excellent customer service to address the needs of staff, faculty, students, employers, and alumni.
- Demonstrate fluency with Microsoft Office (especially Excel, Word, PowerPoint, Outlook, and Teams) and videoconferencing tools (such as Zoom)
- Have experience in managing data

- Bachelor's Degree
- Strong interest in or experience working with college or university career services or student services
- Experience working with graduate and professional degree students and/or postdoctoral scholars
- Experience using various student engagement/tracking and career-specific platforms such as Handshake and/or Salesforce.
- Experience working with multilingual constituencies and students from diverse cultural backgrounds
- Experience planning and implementing complex events and programs
- Experience making travel arrangements with university systems such as Concur
