The Executive Assistant in the Office of the President performs a variety of duties requiring professionalism, confidentiality, and integrity. The position requires a highly organized individual who demonstrates an exemplary professional demeanor and is capable of exercising sound judgement as a member of a skilled and fast-paced professional team. The Executive Assistant must demonstrate strong interpersonal and problem-solving skills, must have excellent written and oral communication skills, and be able to prioritize and manage multiple projects simultaneously. Special sensitivity is required in the handling of confidential information and discussions involving a broad spectrum of issues. The Executive Assistant must have the ability to work effectively in a supportive environment and with sensitivity to individuals of diverse backgrounds and abilities.
The Executive Assistant is responsible for assisting with drafting correspondence and written materials. The position handles confidential material, exercises independent discretion when responding to inquiries, schedules events, activities, and meetings, and assists with the coordination of special projects, activities, and campus events. The Executive Assistant exercises a high level of sensitivity, confidentiality, and trust when processing information, materials, and data that includes receipt, preparation, and distribution of information needed for bargaining unit negotiation proposals, responses, strike plans, employee evaluations, and the like related to Minnesota State and Riverland Community College.
The position has access to the calendars of Executive leaders, assists in managing the President's travel and calendar, and assists with the planning and coordination of special events and activities sponsored by the Office of the President. This includes processing travel forms and assisting with all logistical aspects of special events and activities.
The Executive Assistant relieves President of operational and administrative details, performs functions that require a thorough knowledge of the College policies, procedures, and operations. The position has a high degree of working knowledge of the organizational structure and policies and procedures of the Minnesota State System Office and College, to carry out the activities, mission, and vision of Riverland Community College.
Minimum Qualifications
Associate degree in related field and three (3) years of office management experience working for senior executives OR an equivalent combination of education and experience.
Excellent administrative and organizational skills to manage competing priorities.
Ability to work independently, demonstrating problem solving skills and use of professional judgment to resolve complex issues.
Possess a high degree of confidentiality, ethics, and integrity demonstrated through internal/external relationships that impact the work environments of the College and system communities.
Able to communicate effectively and efficiently with all constituent groups, providing exceptional personal and customer service skills to interact with others in a professional, respectful, and efficient manner.
Technical knowledge of budgeting principles and practices.
Strong computer skills and knowledge of Microsoft Office Suite and the ability to learn propriety software.
Preferred Qualification
Office management experience at the executive level.
Highly detailed accurate, excellent organizational skills, and excellent grammar and communication skills.
Working knowledge of the college?s organizational structure, collective bargaining agreements, and grievance procedures and general knowledge of the Minnesota State Colleges and Universities system.
Academic and Student Affairs, administrative, financial, and organizational policies, and procedures.
General knowledge of local, state, federal, and national systems, and organizations.
Bilingual/multilingual fluent in Spanish, Somali, Karen, Anuak, Nuer, or other languages that reflect our student body, workforce, and communities.
Demonstrated experience working with multicultural and underserved populations.
