GENERAL STATEMENT OF DUTIES: The Operations Coordinator will be primarily responsible for the Summer Housing Operation at Massachusetts College of Art and Design. The Operations Coordinator is a student facing role, which in conjunction with the Assistant Director of Auxiliary and Operations as well as the Office Coordinator, supports the day-to-day needs of the residential student population while marketing and managing a robust summer conference housing operation.
The Operations Coordinator works closely with other departments at MassArt such as Conference and Event Services, Public Safety, and the Facilities Department to assist resident and non-residents alike in addressing and responding to needs.
During the academic year, the Operations Coordinator is primarily responsible for supporting the Director of Facilities for the Residence Halls and/or the day to day facilities needs of the residence halls and College parking operation in conjunction with other members of the department. Additionally, the Operations Coordinator is responsible for the management of the summer conference housing operation and oversight of the College's parking program.
ESSENTIAL JOB DUTIES:
Support, in collaboration with other Housing and Residence Life staff, the daily
operation of the office.
Act as primary contact for all individual and group summer housing prospects.
Collaborate with Assistant Director for Auxiliary and Operations to market and attract summer housing business.
Generate bills and track payments for summer housing groups and individuals.
Propose and develop summer room rates and occupancy projections for budget planning.
Recruit, Train, and Supervise Summer Conference Assistant (SCA) staff.
Respond to summer inquiries in a timely manner and maintain summer housing records.
Serve in an on-call capacity as needed during summer months related to summer conference needs.
Collaborate with Office Coordinator, Public Safety, or other involved departments for parking matters as needed.
Monitor departmental email accounts and respond as needed.
Provide updates to Residence Hall security desks regarding rosters, key updates,and other specific resident data.
Perform audits as necessary to ensure safety and security of residence hall keys,logs, processes.
Produce reports of departmental data relating to occupancy, bookings, and/or other related departmental data.
Assume office leadership role in absence of Assistant Director.
Participate in major Departmental initiatives such as, but not limited to: move-in, accepted students days, move-out, and summer conferences.
Other related duties as assigned.
This is a full-time, live-off, benefited, non-exempt, professional APA position. The annual salary for this position is budgeted for $60,000 to $65,000.
