Job DescriptionThe Administrative Assistant provides significant high-level administrativesupport to the Department Chair, 16 full-time Faculty, 20-25 part-time Facultyand 500 students in the Accounting Department. The department relies on the AdministrativeAssistant to help the smooth functioning of all elements of department work. This individual is a critical componentin the school's and the department's primary objectives of excellence inteaching, excellence in research and providing an enriching environment for allstudents and faculty.
Responsibilities include:
Establishes all office procedures and manages daily departmentaloperations; presents to the chair for approval, and implements departmentoffice policies and procedures;
Department liaison for chairperson to universityadministrative offices including Student Services and the Office of Dean(Carroll School);
Training and onboarding new part-time and full-time facultyon BC's systems and procedures;
Manage budgets and tracks/analysesspending trends for department, faculty and students; Oversees/prepares/submitsrequisitions and travel expense reports; Responsible for Pcard purchases/reconciliations.
Develops, updates, and implementsundergraduate programs forms and publications; updates Accounting faculty and course information.
Manages computer and communicationssupport for department. Serves as department liaison with assigned technologyconsultant (TC). Works with TC to set up new faculty and handles major andminor equipment requests for department, including computer needs.
Serves as resource for event planning as the accounting department brings in 10-15 speakers per academic year. Coordinatespeaker series in the department, set up meetings as required. Coordinate special projects and events,committee meetings.
Assist all faculty with all office-related activities includingtravel arrangements in support of teaching and research, coordinatedepartmental events, manage the student awards annually, and taking notes atfaculty meetings;
Handle departmental phone, mail, and in-personqueries; arrange meetings, prepare documents, presentations; photocopy, ordersupplies, arrange classroom and equipment reservations; oversee new/currentfaculty office space needs; maintaindepartment web page; handle major and minor equipment requests includingcomputer needs; order books and course materials;maintain online course catalog and class schedules;
Supervises and trains work study students
Oversees and manage undergraduate registrationvia Eagle Apps; responds to student email inquiries (demands duringregistration are extremely high). Monitor the status of courses duringregistration and drop add, and maintain and process waitlists foroversubscribed courses;
Provides student advising includingreview of degree audits and guidance on issues pertaining to the Accounting core, major and minor requirements; Approves Accounting majors and minors; verifies credentials; departmental overrides; courseapprovals; manages wait list on oversubscribed courses for over 500 students;
Manages research/teaching assistant(RA/TA) requests for all faculty each semester; Continually update and organizerequests to prepare for hire;
Frequently communicates and advisesboth verbally and in writing with students, faculty, staff and externalstakeholders;
Create and post ads for faculty recruiting; Manage pool ofapplicants; schedule interviews with candidates and accounting faculty.Plan and manage candidate's agendas for campus visits and interviews includingbut not limited to presentations, seminars, faculty calendars, lunch and dinnerevents;
Coordinate speaker series in the department, set up meetingsas required. Coordinate special projectsand events, committee meetings;
Assist with the preparation of correspondence and departmentpromotional materials;
Manage annual faculty merit review process; CV's; researchand faculty teaching evaluations;
Assist Chair/Assistant Chair with course management and schedulingand serving as the departmental point-of-contact during student registrationperiods;
At the request of the Chair conducts fact finding/detailedresearch analysis ie: tenure clocks; comparing awards received by faculty; departmentdata collection;
Undertakes special projects as needed by the Chair
Hiring Range: $26.76/hr to $33.43/hr. Pay rate commensurate with relevant experience.
RequirementsBachelor's degree preferred;Minimum of 3-5 years of administrative experience preferred; Ability to work indemanding fast paced customer service focused environment; Self-starter andtakes initiative; Problem solving skills; conflict resolution and interpersonalskills; Strong oral and written communication skills; Microsoft Office SuiteProficiency, including Excel; Proficiency in Google docs, survey forms;experience with Canvas or comparable course management system is highlydesirable.
