Reporting to the Assistant Director of Housing Services in Oakland campus, the Housing Operations Coordinator provides support of room selection and assignment processes, management of housing processes, assisting with summer resident and conference housing, promotion of housing services, support oversight of front desk tasks and provides administrative support to Housing and Residential Life in matters related to student housing and billing.
MINIMUM QUALIFICATIONS
Sound judgement, analytical skills, attention to detail with a high degree of accuracy, and ability to work in a fast-paced environment. Able to work effectively in a culturally diverse environment and be committed to delivering excellent customer service. Knowledge and skills required for this position are often acquired through a bachelor's degree (or equivalent) plus at least 1 to 3 years experience, preferably working in a college/university environment and/or in a collaborative team environment.
KEY RESPONSIBILITIES & ACCOUNTABILITIES
Administrative Support
The Housing Operations Coordinator supports cancellations including email and phone communications, deposit refunds, transfers and forfeits, and charging cancellation fees.
The Housing Operations Coordinator will support the Assistant Director of Housing Services with the Residency Waiver and Cancellation Petition processes.
The Housing Operations Coordinator will have direct responsibility for all customer service related to cancellations and billing including phone calls, emails, Teams/Zoom, and in person inquiries.
The Housing Operations Coordinator will collaborate with Residential Life staff to receive final damage billing reports and assess the charges. The Housing Operations Coordinator may support the Assistant Director of Housing Services with room assignments and room changes during peak periods.
Coordinates and monitors the Housing office activities to include but not limited to distribution, tracking, and maintenance of keys.
Student Eligibility and Room Occupancy
The Housing Operations Coordinator assists with start of term audits semesterly and processes no-show cancellations and fees.
The Housing Operations Coordinator is responsible for daily monitoring of student eligibility for university housing, and for collaborating with Residential Life staff to determine room occupancy when eligibility changes.
The Housing Operations Coordinator is responsible for processing appropriate housing refunds or assessing housing charges as applicable based on eligibility change.
Customer Service Support
The Housing Operations Coordinator works closely with the Director of Housing and Residential Life, Residential Life Assistant Director and Area Coordinators on all aspects of customer service related to room assignments, room selection, move-in/move-out, emergency rooms and other Housing and Residential Life operations.
The Housing Operations Coordinator will work closely with campus partners in Residential Security, Dining and Accessibility to support with housing placement considerations related but not limited to accommodations, access, allergies etc.
The Housing Operations Coordinator will manage shared Housing and Residential Life inboxes with a high volume of emails daily.
The expected hiring range for this position is USD $25.32 to $31.66 an hour based on the position's scope and responsibilities.
