The Student Services and Program Coordinator position plays an important role in the areas of student services, programming, and communications for the Pre-Health Student Resource Center. This position reports to the PHSRC Director of Communications and works as part of a collaborative team to provide support to pre-health students at the University of Minnesota. This position will have an opportunity to work flexibly in a hybrid environment (with approx. 40% time spent on-campus).The PHSRC has a wide range of communications strategies that are used to reach pre-health students and provide tips and timely information about health career exploration and application preparation. This position will be responsible for creating and sharing content on various communication channels including newsletters and social media, as well as supporting other aspects of departmental communications. This position will also manage development and execution of student-facing programming and large-scale events.

This position will also manage development and execution of student-facing programming and large-scale events.
This role also manages the officeâ™s student services functions including departmental email, drop-in advising, appointment scheduling, and other administrative tasks.
Events, Communications, and Outreach (40%)
Student Events & Programming:
Lead the planning, execution, and evaluation of large scale events, e.g. Health Careers Fair, Health Professional School Expo, etc.
Contribute to the planning and execution of student events and workshops that support various parts of the health professional program application process, e.g. App Lab, Interview Workshops
Support ongoing environmental scanning to identify opportunities and create new programming to meet the needs and interests of pre-health students
Communications:
Collaborate PHSRC Director of Communications to deliver robust department strategic communications plan
Contribute to PHSRC social media strategy and execution
Prepare and distribute monthly PHSRC departmental newsletter; submit PHSRC content to other UMN listservs, etc.
Create and update PHSRC communication materials using Adobe Creative Suite products, Canva, etc.
Create and manage content for PHSRC website and other online educational tools, including regularly posting on the PHSRC Pulse blog
Outreach:
Represent the PHSRC at various on-campus events for students hosted by other departments, either at a contact table or by presenting content
Respond to and coordinate outside requests for speakers or event representatives from PHSRC, e.g. Office of Undergraduate Admissions, pre-health student groups, U of M Health Science Programs
Student Services (30%)
Develop a robust knowledge base that includes health professional program admissions requirements, application preparation, career resources, UMN campus resources
Serve as the first point of contact for students, students services staff, and visitors
Oversee physical and virtual office operations that provides proactive and inclusive customer service
Serve as the main contact for departmental phone calls and emails; train other staff or student staff
Respond to a wide variety of questions and make appropriate referrals to help students and others in navigating: application processes, UMN policies, connecting with campus and community resources, etc.
Support the office administrator to assure a proper and accurate student records system for pre-health students, including APLUS entries, appointment tracking, etc.
Serve as a drop-in advisor for pre-health students, both virtually and in-person; schedule departmental drop-in sessions for all staff
Build and foster relationships across the undergraduate colleges and health science schools at the University of Minnesota; serve on University-wide committees as needed
Engage in professional development and service activities related to the role, within the University of Minnesota community and beyond
Administrative Support and Calendar Management (25%)
Provide support for the Health Professions Pathways Program
Coordinate with Pathways Program Managers on planning and execution of programming and events for Pathways students
Manage departmental calendar; point person for contributing to campus wide Pre-Health Events Calendar
Oversee PHSRC office meeting space and UMN room reservations; ensure space is assigned appropriately for student appointments, meetings, and events
Manage student appointment scheduling process using APLUS, Google Calendar, etc.
Oversee front lobby and general office maintenance (organization, supplies, etc.)
May supervise student workers who will support various front desk, communications, and student services tasks
Support PHSRC courses as needed
Other Duties As Assigned (5%)
Required Qualifications:
High School Diploma/GED and five years related experience to include project management. Coursework in a related field may substitute for some years of experience
Ability to manage details, independently organize workflows, and meet deadlines
Demonstrated ability to handle multiple tasks simultaneously and prioritize competing and time-sensitive tasks
Demonstrated excellent interpersonal, written and verbal communication skills
Experience in office management and/or customer service operations
Proficient in Google Suite of applications, as well as Microsoft Word and Excel
Preferred Qualifications
Familiar with University of Minnesota Twin Cities campus, or experience in a comparable university setting
Undergraduate degree completed

Familiarity with design software or programs, e.g. Adobe Creative Suite, Canva, etc.
Skilled in social media strategy development and implementation
Project coordination and collaboration experience, including event management
Willingness and ability to cross train and assist in other areas as assigned
