Responsibilities* The director of housing is responsible for the overall operations of the property. This includes the day-to-day implementation of policies, procedures, and programs that will ensure well-managed and maintained facilities. The director of housing must relate well to people, exercise good judgment and discretion when assisting residents, visitors, vendors, and staff. *The responsibilities listed below may not be all-inclusive. The larger Volz Company team will provide support and guidance, especially related to best practices and standard operating procedures.
Staff Development and Leadership ? Attract, onboard, and retain exceptional team members for all positions at the property. ? Collaborate with Volz Company and Columbia College leadership to train and develop team members to ensure the property operates effectively. ? Be accountable for scheduling appropriate property always staffing, including after hour on-call shifts, being the primary responder. ? Elevate employee experience through data, conversations, and team building to ensure high morale. ? Ensure compliance with company policies, Fair Housing laws, and other relevant regulations.
Property Administration ? Prepare, respond, and advise on all community aspects including market, physical condition, policies, procedures, and onsite emergencies. ? Engage internal legal department for vendor management, risk management, court appearance, and contract administration matters. ? Conduct quarterly apartment inspections to assess damage and identify property improvements to address. ? Deliver legal and resident notices and file evictions in compliance with current policy and local ordinances. ? Manage all resident accounts and billing, coordinate receivables, and maintain regular auditing documentation.
Facilities & Capital ? Be accountable for a safe and sanitary community experience for employees, residents, and guests including curb appeal, operationally sound facilities, common areas, and preventative maintenance. ? Conduct monthly property walks and submit scorecard assessments around inspections. ? Coordinate work orders with appropriate staff or vendors to ensure requests are met on time while ensuring necessary communication is sent to residents and customer satisfaction remains high. ? Maintain and audit building and system permits to ensure that the property complies with all local and state codes. ? Responsible for identifying all capital improvements required and working with the Volz Company team on approval and execution of new projects. ? Obtain vendor bids on all projects and gain approval for projects.
Annual Turnover Process ? Proactively plan and execute the annual turnover process in collaboration with the facilities technician to ensure all team members and vendors have clear goals and expectations to meet deadlines. ? Forecast and manage financial performance of the annual turnover process to keep controllable property expenses within budget. ? Create, manage, and update turnover schedules to ensure adequate progress is being made and deadlines are being met. ? Conduct move-out inspections and vendor service walks to ensure units are ready for resident move-in dates. ? Provide hands-on help throughout all turn-related tasks, including but not limited to moving furniture and appliances, assisting facilities team with “punches”, addressing the high volume of resident trash, and cleaning requirements.
Financial Performance ? Maintain records for all financial aspects of the property such as annual and capital budgets, managing property expenditures, invoice entry, payroll, inventory, collection policies, forecasting, meeting revenue targets, credit card reconciliation, variance reporting, vendor service agreements and month-end processes.? Enforce and comply with all late fees, Non-Sufficient Funds (NSF) fees, and collection policies, keeping delinquency below 2% by month end. ? Post and collect damage charges from quarterly inspections.
Customer Experience & Leasing ? Provide a positive customer experience through reputation management, resident events, work order management, turnover, hiring, and developing staff with a customer experience mindset. ? Be accountable for monitoring customer feedback via internal surveys and external reviews to develop action plans for promptly improving the resident experience. ? Support on-site staff with escalated resident concerns and assist in de-escalating situations when needed. ? Manage all customer leasing interactions, both personally and through directing team members. ? Plan, promote, and execute customer experience initiatives, engagement initiatives, and additional marketing opportunities.
Qualifications: • Bachelor’s degree (preferably in student affairs, education, or a related field). • Experience in residential life, student housing, or related roles. • Strong interpersonal and communication skills. • Ability to work evenings, weekends, and be on-call as needed. • Commitment to student development and community building.
Compensation: • Salary range of $68,000-$70,000. • We offer a competitive compensation package including health insurance and 401k.
