About the Department
The Cornell University Office of the University Registrar (OUR) implements and monitors many academic and administrative policies in coordination with academic units, departments, colleges, and schools to facilitate faculty teaching and student learning. The Office of the University Registrar acts as the steward of academic and student information. The Office of the Registrar champions the constant renewal of student information systems, adapts operations to changing academic needs, federal, state, and institution policies, and evaluates administrative processes for services improvements.
The Opportunity
The Assistant University Registrar for Academic Records and Operations has direct supervision of the academic records team with assistance from the Deputy University Registrar. The team supports the mission of the office to create, maintain, and protect the academic records of current and former students. They are responsible for the day-to-day operations of the office including transcript ordering and production, enrollment and degree certification, ID card production, diploma management, and Veterans Administration education benefit certification. The responsibilities of the Assistant University Registrar for Academic Records and Operations include:
- Provide leadership and supervision to the Academic Records team (3 staff) and student employees.
- Oversee production and delivery of official documents including transcripts, enrollment and degree certifications, etc., as well as ID cards and diplomas.
- Provide leadership for Student Center.
- Develop a culture of superior customer service when dealing with walk-in traffic, phone calls, and email communications.
- Ensure compliance with university policies and procedures and federal, state, and local laws within OUR.
- Collaborate with all OUR teams and campus partners as a functional business lead investigating system replacements, enhancements and upgrades.
- Participate in business process evaluation, enhancement, and re-design efforts that integrate new technologies.
- Provide leadership in OUR trainings for staff and constituents, including but not limited to FERPA compliance, and university policies.
- Provide support and documentation for internal and external audit responses.
We seek a dynamic, collaborative professional who has strong functional expertise with demonstrated leadership capacity and superb time management skills to provide excellent service to students, advisers, faculty, staff, and others served by the Office of University Registrar.
This position is eligible for a hybrid work arrangement, which includes in-person work days based in Ithaca, NY.
What We Need:
For full consideration, applicants must include both a resume and cover letter with their application.
- Bachelor's degree with at least 2 years of experience, or equivalent combination of education and experience, in a student services office with an in-depth understanding of student records administration.
- Significant experience with and knowledge of business processes and technology related to transcript production, ID card creation, and diploma management.
- Significant experience in analyzing, documenting, and modifying business requirements in academic student service areas.
- Experience with PeopleSoft Student Administration system, or equivalent system.
- Experience in reporting, data analysis, and standard reporting tools.
- Knowledge of areas providing student and academic support services including units within student affairs, Bursar, Financial Aid, and the colleges and schools, and with IT or equivalent offices at another higher education institution.
- Ability to communicate requirements, problems, issues, and solutions to technical and non-technical users.
- Familiarity with the standard office software packages
