The Admission Office Assistant – Visitor Experience position calls for a warm, welcoming, and reliable person who is responsible for daily customer service at the Office of Admission. This frontward facing role welcomes visitors to the admission office and works directly with current students. This position will also serve as a member of the Operations Team, providing assistance on various projects assigned by the Director of Operations.
Job Duties:
Provides front desk coverage for the Office of Admission, greets visitors, prospective students and families, responds to inquiries by email and phone. Provides ongoing support and insight to student workers and events team.
Responsible for daily professional customer service; this staff member enhances the campus visit experience as a point person who welcomes and registers admission visitors, and provides information about Bates College and the daily visit schedule as needed. This role works closely with student employees of the Office of Admission.
Performs significant data entry, record keeping, mail merging, filing, and proofing of student inquiry and applicant information, and other support projects.
Serves as daily contact to key constituencies: prospective students and their families; members of the Bates community including alumni, parents, staff and friends of the College. Answers general admission telephone line in a professional and courteous manner.
Responds to main admission email account inquiries and other correspondence.
Duties as assigned by the Director of Admission Operations, Director of Admission, and Vice President for Enrollment and Dean of Admission and Financial Aid.
Minimum Qualifications:
Education
High school diploma or GED required. Bachelor’s preferred.
An equivalent combination of education and experience considered.
Experience
3+ years of administrative support experience, preferably in a student services, academic and/or non-profit setting.
3+ years of experience with data entry and records management.
Previous experience working with the public required.
Experience with database systems and reporting software including Hyperion, Banner and Slate preferred.
Demonstrated cultural competencies to work with diverse populations of students and support diversity, inclusion and access in student recruitment.
Experience with and understanding of the selective, private college admissions process and philosophy, the strengths of an undergraduate liberal arts experience, and the value of inclusive diversity preferred.
Experience with and knowledge of Bates College, the Lewiston area, and Maine is preferred.

Ability and willingness to travel (by car, air, train or bus) as needed.
Ability and willingness to work weekends, evenings, on-call and other non-traditional schedules.
