The Club Activities Advisor is responsible for assisting in the management of the AS Club Activities Office (Club Hub) and providing professional expertise to support student-initiated clubs that provide experiential learning opportunities for students and programming for the campus community. This position assists with advising, training, and support for a broad range of organizations in order to provide quality programs and to enhance the campus community, student leadership development, and the educational value of the student involvement experience. The position supervises the AS Club Events Coordinator, a student employee in the Club Hub, as well as advising the AS Vice President for Student Activities.
This position is supervised by the Club Activities Manager and works within the Student Engagement unit, housed in the Viking Union. The position is to provide education, training, and leadership development across campus with emphasis on Accessibility, Diversity, Equity, and Inclusion work which connects into the Bellingham community.
Position Duties and Responsibilities
45% - Club Advising:
Assist with the advisement of over 200 Associated Students (AS) Clubs, which includes supervising one student employee in the AS Club Activities Office (Club Hub) and lead all programming efforts implemented by the office.
Actively represent the club system within the department and throughout campus, maintaining an awareness of emerging and ongoing issues related to student organizations.- Coordinate planning, logistics, and assessment, with the Club Events Coordinator, of several annual events, which have traditionally included but are not limited to: AS Club Kickoff (fall quarter), AS Club Boost (winter quarter leadership development workshop series), the AS Club Showcase (winter quarter), the annual AS Club Awards event (late spring), and AS Club Renew (spring quarter reflection and transitions event).
Demonstrate cultural awareness and sensitivity when guiding student groups and individuals through planning processes and when connecting students with campus resources, remaining mindful of the broad range of experiences of the student body and the many intersecting identities held by students.
Maintain an awareness of legal and risk management issues affecting student activities programming and consult with the WWU Risk Management Office when needed.
Assist with onboarding, advising, and training new and returning clubs in areas such as event planning, budgeting, recruiting and retaining club members, travel, campus and community resources, risk management, fundraising, policies and procedures, publicity, group development and other areas specific to the needs of individual clubs. Delivery methods may include individual consultation with students, workshops, conferences, print materials, on-line resources, and other formats determined to be effective in reaching students.
Attend weekly event services planning meeting to provide details of club event planning that help other operational areas such as financial assistance (cash handling, ticket sales, etc.) and service needs (event staff, staging, lighting, sound system, etc.)
20% - Student-Led Funding Committees:
Advise the AS VP for Student Activities as the Chair of the AS Activities Council and the chair of the Queer Guild Council, as directed by Club Activities Manager, helping to guide the chairs in leadership strategies and equitable processes.- Attend meetings and serve as Advisor for AS Activities Council and AS Queer Guild Council as directed by Club Activities Manager, ensuring a quality experience for participants and effective management of fiscal resources through training, policy interpretation, and process management.

10% - Supervision:
Supervise, hire and train the AS Club Event Coordinator, a student employee position.
Staff Club Hub Welcome Desk when student staff unavailable to ensure questions are answered.
Advise search committees for student positions, as assigned by Club Activities Manager.
Assist in the training of student employees in event planning and implementation, peer advisement, contract negotiation with artists and agents, risk management, assessment, contract approval processes, publicity, policies and procedures, budget management, event evaluation, and inclusive programming.
Supervision of the Club Finance Coordinator, as needed in the absence of the Club Activities Manager.
10% - Club Outreach and Marketing
Lead Social Media efforts for office to ensure a broad range of communication techniques using the most current resources available.
Create and disseminate an electronic newsletter with announcements, training topics, and any updates that all clubs will need to be successful.
Manage an Instagram account using the mostly current and effective strategies for outreach to campus and the public about WWU clubs.
Assign social media efforts to student staff as needed.
5% - Policy and Procedures:
Support Club Activities Manager in upholding the University Club Recognition Policy and AS Club Recognition Procedures to include onboarding new clubs.
Conduct research to develop an informed base of knowledge on resources, trends, and issues related to campus programming, legal matters impacting clubs, social justice, civic engagement, environmentalism, and other areas of interest to students organizing clubs.
Work with Club Activities Manager to evaluate processes, policies, and procedures that affect clubs and organizational effectiveness in the Associated Students, implementing improvements as efficiently as possible.
5% - Club Advisor Support:
Revise and maintain methods of communication, training, and support to faculty, staff, and community club advisors that are currently most effective.
Consistently assess the needs of club advisors to assure needs are met and can serve as a partnered asset to the Club Activities Office
5% - Other Duties as Assigned:
Participate and engage in regular staff meetings, contributing to strong internal communications and information sharing.
Maintain and update historical records and files related to assigned advisement areas working with the Records Coordinator for archival.
Actively participate in projects and activities to support the organization’s mission and objectives.
Collaborate with other university departments and community organizations to further organization and university objectives.

Required Qualifications:
High school graduation or equivalent
Experience effectively advising students and/or young adult leaders of programs, clubs, or organizations to support personal and professional development as well as leadership in decision-making
Relevant experience as a student, grad student, or professional in club as a member or advisor or within student activities
Experience working in education, student activities, student affairs, leadership development, government, military, or related field
Knowledge of and experience in planning, advising, and coordinating events or activities
Demonstrated experience interacting effectively with diverse populations in a positive and empowering manner
Demonstrated experience communicating effectively, including written, interpersonal, and public speaking skills
Flexibility to work occasional weekend and evening hours is necessary as many organization meetings and events occur during these times
Preferred Qualifications:
Bachelor’s degree
Experience working in student activities on a college campus
Knowledge of and experience in developing and presenting training programs for student leaders and/or employees
Demonstrated skills or experience with supervision/leadership (this may include full-time or part-time staff, student staff, volunteers, or other experiences that demonstrate an understanding of supporting others in achieving goals or objectives as assigned)
Understanding of budget management
Experience using and learning software technology and using social media
Previous experience assessing and mitigating risk in a campus activities setting
Knowledge of current resources and trends in student activities, educational, social issues, and entertainment programming
Knowledge of student leadership and student development theory and their applications in practice
