Position Summary
The Program Assistant is responsible for the overall day-to-day operations of the Central Residence Life Office, utilizing exceptional organizational, interpersonal, and customer service skills via phone, email, and individual contact. Responsibilities include, but are not limited to managing daily functions of the central office, including Loy neighborhood support, Facilities Management work requests and work order billing, departmental budget coordination, supporting for housing operations processes, and training and evaluation of student employees. This position provides support and assistance to the Central Residence Life Office professional staff, neighborhood staff and faculty members, student staff and residents.

Minimum Required Education and Experience
High School diploma or GED plus three or more years of related experience and/or training required.
Preferred Education and Experience
Bachelor's degree preferred.

Job Duties
Office Management and Inquiry Response Provide primary administrative and office management support for the director, central office professional staff, student staff and residents. Primary presence in the Central Residence Life Office for student interaction, acts as a resource for students, families, and staff. Manage correspondence and daily operations of the office, including frequent use of phones, email, and housing software systems.
Financial Processes Reconcile credit purchases and maintain accurate records of budgets, monitor spending, and regularly reconcile balances for operational accounts. Processing billing for visiting faculty apartment. Track and process professional development request and expenses. Process occupancy checks, health & safety inspections, check requests, and Print Shop requests.
Personnel Processes Manage the recruitment, marketing, hiring, training, supervision, and evaluation of student staff providing support and mentorship while encouraging professionalism in the workplace. Contribute to student success by ensuring skills and knowledge gained through student employment connect to classroom learning and future career competencies. Provides guidance and support to the neighborhood professional staff, including neighborhood Program Assistants, as they perform administrative duties and navigate university processes, procedures, and expectations.
Facility Processes Prepare work orders for Facilities Management regarding residential or office repairs and process billing charges. Maintain residential billing information for assigned areas and communicate with service vendors regarding maintenance and repairs (i.e., Laundry and Vending). Act as scheduler for room reservations and building manager for Central Residence Life Office Professional Staff. Management of incoming live-in faculty and staff onboarding processes and visiting faculty apartment reservations and logistics. Responsible for master key inventory in the Key Watcher System.
Information Management Maintain housing information for all residential areas (Rosters, Room Condition Forms, room changes, leases etc.). Maintain confidential files and information about residential students. Responsible for maintaining calendars, including scheduling appointments, coordinating meetings via polls, and tracking leave dates for the Residence Life Central office staff.
Other Duties Support university events, including, but not limited to: Move-In/Out Days, Convocations, Commencement, Family Weekend, and events related to Admissions and/or New Student Orientation; Serve on university, divisional, or departmental committees, task forces, and search committees; Other related duties as assigned by supervisor
