Job DescriptionUnder the direction of the Director of Financial Aid, thisposition oversees all financial aid systems, including the preparation ofbusiness requirements for new and enhanced systems to ensure that current andfuture financial aid systems requirements are met. Works with Student ServicesInformation Systems department as well as system vendors to ensure regulatorychanges are implemented in a timely and successful manner. Sharesresponsibility for undergraduate caseload management. Works with the Directorto ensure institutional and federal compliance.
Responsibilities include, but are not limited to:
Work with various campus partners to implement, enhance, andmaintain ProSam, Boston College's financial aid management system; FolderWave, thefinancial aid imaging system; Slate, the financial aid communication system;EagleApps, the student information system, and all system functions forfinancial aid
Manage the various processes associated with financial aid systemimplementations and maintenance including financial aid awarding, budgeting, needanalysis, work-study, and reporting.
Oversee the development and review of functionalspecifications related to ProSam, FolderWave, Slate, EagleApps, and othersystem enhancements as well as regulatory and university policy changes; developsbusiness requirements, implementation schedules, and test plans; conducts andcoordinates testing; and collaborates with Student Services Information Systems,Information Technology Services (ITS), Production Services, and third-partyvendors.
Serve as subject matter expert for ProSam, FolderWave, Slateand EagleApps integrations, including all systems-related documentation andtraining materials. Identifies system-related training needs for theundergraduate, graduate, and law teams and works with the Financial AidAssociate Directors on training delivery. Responsible for the Federal andInstitutional need analysis calculation testing, data layout setup and BCfinancial aid Portal setup.
Develop ad hoc reports using Cognos. Is the point of contactfor operational financial aid reporting requests and needs.
Create necessary technical documentation to detail financialaid systems (ProSAM, FolderWave, Slate, EagleApps) functionality, integrationsand updates.
Manage annual cycle startup and year-round systemmaintenance. Work with the Student Services Systems Associate Director oncomprehensive setup and testing efforts in test environments and shares responsibilityfor Profile and FAFSA loading procedures, data integration between variousuniversity systems, and the returning student rollover process with the StudentServices Information Systems and ITS. Responsible for the Federal andInstitutional need analysis calculation testing, data layout setup and BCfinancial aid portal setup.
Manage a caseload of approximately 100 students.
Supervise team of up to 3 financial aid professionals. Monitorstaff casework to ensure all files and awards are completed efficiently andmeet regulatory compliance mandates. Updates weekly statistics on caseloadmanagement. Adjust workloads when necessary. Monitor the programmatic responsibilitiesof reporting staff to ensure efficiency and regulatory compliance. Exercises andtrains others how to exercise professional judgment.
Keep current with best practices in the profession.
Conduct performancemanagement reviews for staff including goal setting and career development. Fosterhigh team productivity, morale, success, and member retention while ensuringprogram integrity and confidentiality.
Work closely with other offices including Student Accounts, Creditand Collections, Admissions, Academic Services.
Represent Financial Aid Office at various programs andevents including Orientation, Open House, on campus events, etc.
Assume other duties as assigned.
Full-Time Equivalent Hiring Range: $77,800 to $97,250; salary commensurate with relevant experience.
Requirements5 to 7 years of progressive leadership in financial aidadministration with experience in higher education. Alternately, the successfulcandidate may possess any equivalent combination of higher education experienceand training and technical
experience/knowledge
Bachelor's degree required. Master's preferred
Excellent technical knowledge of financial aid programs, regulations,needs analysis methods, and aid packaging techniques.
Demonstrated experience in developing and deliveringfinancial aid training, file review, awarding, and advisement in studentfinancial aid administration required. Experience with administering aid using institutionalmethodology is preferred.
Excellent leadership, organizational and problem-solvingabilities
Strong commitment to customer service and ability to handlecomplex situations
Attention to detail, manage multiple projectssimultaneously
Strong interpersonal skills and demonstrated ability to workcollaboratively with cross functional teams
Preferred Qualifications
Strong technical knowledge of a financial aid managementsystem
Proficiency with PC, Google Suite tools, Microsoft Officetools, with the ability to learn new technology systems.
Knowledge of Slate, Cognos, Tableau, Excel and/or other datamanagement tools. Experience or proficiency in writing SQL queries is aplus
Knowledge of Federal sites such as EDConnect, NSLDS, CPS, andCOD
