The Administrative Support Specialist provides exceptional organizational, communication, and customer service skills to support the full array of programs and services provided at the Davie Campuses. This position is the primary point of contact for students, faculty, staff and the community at large and demonstrates high energy, a cheerful personality, and enthusiastic support for DDCC’s mission, vision, and values.
The Administrative Support Staff member is a full-time 12-month position that reports to the Executive Vice President, Academic and Student Affairs and has the following responsibilities:
General campus support duties include:
Provides a full range of office operations and services involving the use of judgment and discretion
Provides phone coverage and greets visitors utilizing effective interpersonal skills; refers callers and visitors to other offices, as needed, through a thorough understanding of college resources
Communicates through email and other written forms with minimal guidance using appropriate grammatical composition, spelling and punctuation
Demonstrates initiative, problem solving abilities, strong work ethic, punctuality, and a collaborative, positive attitude in performing duties
Ensures accurate data entry, filing, record retrieval, and reporting both manually and electronically.
Maintains relevant databases, shared drives, and cloud-based applications
Facilitates the timely exchange of information from Davie leadership to campus and external constituents
Assist with business office functions
Assists the various areas of the Davie Campuses as needed, including but not limited to testing, library, and class coverage
Coordinates Davie Campus internal and external events through scheduling and planning processes
Provides general marketing assistance, including constructively reviewing communications to ensure accessibility and making suggestions to improve information disseminated about the Davie Campuses via the college’s web pages, electronic displays, brochures, correspondence, etc.
Maintains high level of sensitivity, understanding, and respect for a diverse academic environment, inclusive of students, faculty, and staff of varying social, economic, cultural, ideological, and ethnic backgrounds
Serves on college committees, councils and task forces and attends division and College meetings and events as appropriate.
Performs other tasks as assigned that support and advance the College and student success.
Instructional support duties include:
Assists faculty and leadership with management of instructional processes and record keeping including purchasing and expenditure tracking
Works with leadership to coordinate adjunct contract processes, monthly payroll for adjunct instructors and part-time staff, and leave reports
Assists leadership with program review, compliance records and other academic records including course set-up, creation of course packets and assisting students with login or other course information
Student services duties include:
Maintains and updates student academic records.
Works collaboratively with other Student Affairs staff to develop cross-training opportunities and knowledge sharing.
Maintain confidentiality of student records by following FERPA regulations, carefully monitoring student records for security, and properly storing all student records
Associate’s degree from a regionally accredited institution
Minimum two years of experience in administrative and instructional support-related work
Experience with Colleague or other student management systems
