Job Description This position will provide administrative and programmatic support to the offices of Student Services and Career Services at the Pardee School of Global Studies. Reporting to the Directors of Student Services and Career Services, the Office Coordinator will manage a portfolio of assigned administrative processes, including production of weekly newsletters, updating student records, maintaining a jobs and internships database, and providing reports to senior leadership, as well as other tasks as assigned. The Office Coordinator will work with appropriate Pardee School staff to coordinate and oversee student-focused events, including managing logistics, liaising with speakers, and publicizing events to students. The Office Coordinator will also ensure that the offices of Student Services and Career Services operate smoothly, including reconciling expenses, ordering necessary supplies, and ensuring a welcoming environment for students.
Essential Tasks
Program Administration:
Manage weekly newsletters for the graduate and undergraduate student population.
Assist students with appointment scheduling as needed.
Process and track updates to student records.
Support academic programs including the Pardee Honors Program, MA paper program, and travel awards.
Manage scheduling of MA paper and BA honors thesis defenses.
In collaboration with Director of Career Services, maintain and expand a jobs and internships database.
Create reports, including periodic enrollment reports, as requested by Pardee School leadership.
Monitor shared departmental email accounts and respond to common inquiries or forward to the appropriate staff member.
Manage the approval process for transfer and study abroad courses.
Staff reception desk and respond to student inquiries via phone, email, and in-person.
Event Planning:
Manage all logistics of student and career services events, including the PardeeWorks Series, info sessions, employer visits, student group events, and the faculty mentoring program.
Manage publicity efforts for student-facing events, including creation of flyers and social media outreach.
Office Management:
Reconcile expenses and process reimbursements in Concur.
Conduct inventory and order necessary supplies for the student and career services offices.
Required Skills
Bachelor's degree.
3-5 years experience required.
Strong verbal and written communication skills.
Superlative organizational skills and meticulous attention to detail.
Multi-tasker able to balance multiple projects, prioritize responsibilities, and meet deadlines.
Ability to work independently, as well as collaborate on a cross-functional team.
Experience working with a wide range of constituencies in a diverse community.
Tact and discretion in dealing with sensitive student issues.
Outstanding interpersonal skills and a welcoming attitude to students and school visitors.
Strong computer skills, including MS Office Suite, Google Suite, Canva, MailChimp, and social media.
This is an in-person/on-premises role with the occasional opportunity for seasonal remote work.
