Rutgers, The State University of New Jersey, is seeking two Administrative Assistants for the School of Environmental and Biological Sciences. These positions serve the Office of Academic Programs with support for advising, general responsibilities of the office, including front-line, nuanced student advising, record maintenance, school event planning/coordination, and other duties as needed. These positions require knowledge of school policies/procedures, event planning, organization, and communication skills, as well as the ability to effectively interact with and provide services to students, faculty, staff, the general public, and other units within the University. These positions require making effective referrals and an ability to deal with sensitive issues. The two positions report to the Associate Dean for the Office of Academic Programs but will support their respective Assistant Deans. One will support the Assistant Dean for Transfer Students and the other will support the Assistant Dean for Student Retention.
Among the key duties for the Administrative Assistant position supporting the Assistant Dean for Transfer students are the following:
Serves the Office of Academic Programs supporting advising, particularly transfer student advising, transfer registration processes, and special projects.
Supports all transfer student advising and registration activities, including communication, registration, transfer credit evaluation and processing, syllabus submission, review and processing, and administrative support for all transfer student onboarding processes.
Among the key duties for the Administrative Assistant position supporting the Assistant Dean of Retention are the following:
Serves the Office of Academic Programs by providing support for all retention, student support efforts, and scholastic standing processes, as well as all campus engagement initiatives in the Office of Academic Programs.
Supports the Assistant Dean of Retention in organizing all record keeping, processing, and communication with students regarding academic standing issues (warning, probation, good dismissal, re-enrollment, good standing) and answers all front-line inquiries for students with concerns about academic standing.
Provides important administrative support for Campus Engagement activities, including the development of programs, support for activities such as the GROW@SEBS program, and implementation and review.
Minimum Education and Experience:
Requires a bachelor's degree preferably in a related field or an equivalent combination of education and/or experience that demonstrates knowledge and understanding of college academic and student affairs, office administration, work organization, coordination, and data management.
