THE DEPARTMENT:
New Student Programs and Family Engagement (NSP &FE) is responsible for preparing the 8000+ entering students for academic and personal success by providing an effective transition to the university from the point of admission through the end of the student's first year. NSP &FE provides information, communication, programs, and services to current and prospective students (and their families) to orient them to the traditions, mission, philosophy and culture of the campus and to make them knowledgeable about Cal Poly Pomona's opportunities, resources, challenges and programs. The office designs, plans, implements, and assesses orientation sessions which are mandatory for all entering first-year and transfer students.
NSP & FE plays a critical role in the transition of prospective students to the University and serves as a central resource center for student and parent inquiries and issues. The office is responsible for integrating parents and family members into this transition process, for educating parents regarding the University, its programs, and services, and for counseling parents regarding effective ways to stay involved and support their student's continuing development. NSP & FE serves as the administrative office for the Student Orientation Programs (including on-campus First- year and Transfer Orientation and On-line orientation), Parent/Family Orientation Programs, Alpha Lambda Delta Honor Society, Welcome Week Activities, including CCP Fest and Student Convocation and both student and parent/family communication. The office is responsible for compliance with federal, state, CSU System and University requirements and the timely and accurate dissemination of information to students, parents, and campus constituents.
New Student Programs and Family Engagement (NSP &FE) is housed within the Division of Student Affairs and reports to the Associate Dean of Students, Student Experience. The office supports student success and campus adjustment, in conjunction with other campus constituents. DUTIES AND RESPONSIBILITIES:
Departmental Management
Serve as HEERA Manager for New Student Programs and Family Engagement (NSP &FE) Department Recommend for hire, develop, train, and provide oversight to the professional and support staff Conduct timely and meaningful performance appraisals for staff Address performance issues and take disciplinary actions as needed
Oversee the development and maintenance of the Orientation database system, either 3rd party or via Peoplesoft and manage multiple interfaces with Peoplesoft system for Admissions and Enrollment processes and reporting
Assess, determine, and develop business process and workflow as it relates to student matriculation, including the use of technology to enhance student and constituent services
Provide direction to plan, develop, implement, and evaluate entering student orientation and welcome programs that support student success and a positive transition to college
Oversee the development of an effective communication plan for parents and family members to reinforce their roles as partners in the success of their students and to provide them the information they need to serve as resources for their students
Participate in the Slate implementation roll-out for Division of Student Affairs and identify priorities for New Student Programs & Family Engagement
Campus Leadership
Provide Campus Leadership in Re-imagining the First Year Experience at CPP Collaborate and consult with key campus constituents in defining and meeting the needs of students and the campus--this includes an integration of communication and business processes with Admissions and Outreach and University Housing and regular meetings and coordination with Associate Deans, Department Chairs, Academic Advisors, Administrative Affairs, and Department Directors
Chair Orientation Advisory Council and coordinate communication and services to support the university-wide efforts implemented at orientation
Partner with Alumni Affairs and External Relations in the connection and development of a robust parent and family program.
Co-Chair, Cultural and Identity Based Conscious Working Group
Determine breadth of cultural and identity-based first year services provided on campus for students
Coordinate communication between existing services to support the sharing of best practices and a more seamless experience for students
Explore opportunities for collaboration with the goal of eliminating duplicated services and more effectively utilizing current resources
Collaborate and facilitate the launch of a cultural and identity-conscious orientation experience
Design a logic model and assessment plan for the cultural orientation(s)
Co-Chair CPP Fest, Annual Three-Day Festival Welcoming New and Returning Students
Determine themes that will guide the activities for the three-day event
Coordinate communication between existing services to support the sharing of best practices and a more seamless experience for students
Explore opportunities for collaboration with the goal of eliminating duplicated services and more effectively utilizing current resources
Design a logic model and assessment plan for CPP Fest
Serve on the First-Year Committee
Determine breadth of first-year experience services provided on campus
Coordinate communication between existing services to support the sharing of best practices
Explore opportunities for collaboration with the goal of eliminating duplicated services and more effectively utilizing current resources
Collaborate and explore opportunities for new initiatives
Budget Management
Develop, administer, and oversee both the Orientation Fee revenue and expenditure accounts
Make recommendations as needed to the Fee Advisory Committee for any changes in the orientation fee structure
Provide for the fiscal accountability of all funds received and disbursed
Ensure appropriate audit procedures are observed and maintained.
Prepare reports, audits, and/or program reviews Identify and negotiate internal and external partnerships for cost sharing and fiscal efficiencies
Explore external funding opportunities through grant-writing, sponsorships and partnerships, to support the implementation of additional first-year transition programming
Assessment and Research
Develop goals, identify learning outcomes, and appropriate methods of assessment that support ongoing quality Improvement
Develop and maintain operational and trend reports, utilizing PeopleSoft, the data warehouse and campus dashboards
Leverage assessment data to make determination about program direction and strategies
Serve on the ADOS Leadership Team and incorporate divisional and university goals into the annual goals and objectives of the department Represent the New Student Programs & Family Engagement (NSP &FE) office, and the Division of Student Affairs on campus-wide committees
Serve as institutional representatives to groups, organizations, and associations outside the University related to the orientation and transition of students.
Maintain liaisons with representatives of feeder institutions and community agencies
Attend national and local training conferences and keep current in student development and learning theory and best practices to ensure professional expertise and program effectiveness
QUALIFICATIONS:
Bachelor's degree AND/OR the equivalent training preferably in student affairs, higher education administration, college student personnel, social work, counseling, or a related field
Three (3) years of progressively responsible experience in successful planning and administration of student affairs programs.
Experience leading or coordinating orientation and/or family engagement programs in the university setting.
Experience with supervision, assessment/evaluation, training and development, leadership, and student involvement programs
Must have a strong working knowledge of student development and the ability to relate to people from diverse backgrounds
Must be flexible to work evening and weekend hours, particularly in the summer, collaborative leadership style, outstanding communication and interpersonal skills and demonstrated ability to lead, develop and motivate staff Service orientation
Knowledge of student development/learning theory and practices, assessment methodologies, enrollment trends, marketing, and the utilization of technology
Understanding of and commitment to diversity and the mission of a CSU polytechnic university
In-depth knowledge and understanding of University academic and enrollment policies
Ability to effectively plan and utilize fiscal, operational and staff resources
PREFERRED EXPERIENCE:
Three (3) years prior experience with Student affairs related units, two of which should be with new student orientation, advising, collaborating with faculty, and progressive leadership responsibilities.
Master's degree in higher education, student affairs administration, or other applicable discipline
Demonstrated commitment to the practice of open and effective communication with students, faculty, and staff to build and maintain collaborative relationships is desired
