About the Opportunity
JOB SUMMARY:
The newly created Network Program Administrator position within Khoury College of Computer Sciences will assist in the daily academic operations of the college and will be a key support for the network leadership team, which oversees graduate programs across Northeastern University's global network of campuses. Khoury College currently offers graduate programs in Boston, Portland (ME), Arlington (VA), Miami, San Jose (CA), Oakland (CA), Seattle, and Vancouver (Canada).
Reporting to the Director of Network Programs, the Coordinator will serve as a project manager and administrative coordinator for the network. This work includes managing calendars; logistical planning for meetings, workshops, and retreats; supporting short-term projects and sprints; maintaining data; assisting with academic operations like internal and external communications, student employee hiring, course and classroom scheduling. It is critical that the administrator is dedicated to building strong relationships and fostering a welcoming, nurturing environment for our diverse students, faculty and staff.
This role is remote and will require 2-4 week-long trips to network campuses each academic year, with additional sporadic travel as required.
MINIMUM QUALIFICATIONS:
Prior administrative experience in a higher education setting.
3-5 years relevant experience working with and building relationships with diverse populations of students, faculty, and staff in a higher education setting.
Prior experience in project management, data management, and administrative support preferred.
KEY RESPONSIBILITIES & ACCOUNTABILITIES:
1) Project Management & Program Administration:
- Collaborate with Director of Network Programs on project management of short-term cycles and sprints related to program administration, such as:
Processing paperwork for accreditation processes in coordination with Global Launch Services and regulatory affairs offices (e.g. NECHE reaccreditation, new program launches).
Management of annual project cycle of organizational and resource changes related to the Align program, as established during annual retreat.
Coordination of in-house experiential learning program planning processes e.g. student-facing research initiatives, employer partner programs.
-Maintain relationships with network campus partners; use discretion to provide information and propose solutions for resource allocation changes to network leadership.
2) Network Faculty & Course Support:
-Support campus-based faculty program directors in scheduling and logistics for local events and faculty gatherings.
-Working with Director of Graduate Administration to coordinate scheduling of courses and classroom space for Khoury College courses network campuses.
-Coordination of TA/IA hiring for network campuses; managing TA/IA recruitment and hiring; coordination on TA training with committee.
3) Administrative Support for Network Leadership:
-Managing calendars, scheduling, and availability for Associate Dean of Network Programs and Director of Network Programs.
-Scheduling recurring meetings for various campus/project sub-groups; compiling agenda items, taking notes; documenting action items; tracking progress on action items.
-Coordinating on-ground logistics for network-wide meetings and retreats (e.g. Align retreats, program directors' retreats, quarterly campus meetings); reserving space, planning agendas, coordinating food and lodging, communicating with attendees.
4) Student Support Communications:
-Collaborate with Director of Network Programs and Senior Director of Graduate Student Services to coordinate communications for Align student support services: compile and distribute monthly Align newsletters in collaboration with marketing team (internal and external audiences); notify students of available resources and opportunities such as the Align Math Preparation course, employer partnership programs, mentorship programs, etc.
-Process special students from external academic partners in coordination with faculty program directors.
5) Maintain Data and Process Documentation:
-Maintain and regularly update network data (e.g. enrollment numbers, program and campus launch data, student demographic data).
-Field requests for data and basic analysis of data relating to student enrollments, student demographics, and program outcomes data.
