The Executive Assistant for the Division of Student Affairs performs advanced duties and complex tasks independently with moderate day to day supervision.
Reviews programs contracts and agreement for accuracy before submitting to Purchasing for review to insure compliance with state laws, university regulations and policies.
Plans, coordinates, and performs standard administrative management support service activities for the office such as reviewing financial statements for the division to insure their compliance with state and university regulations; prepares standard contracts, payment requests and purchase requisitions.
Maintains a comprehensive database system that catalogs the university's student discipline in accordance with the Code of Student Conduct, and in conjunction with other reporting systems for student matters of a non-discipline nature and parking appeals.
Assists with and coordinates arrangements for conference, convocations, invited speakers, receptions, award programs, student affairs programs and other special events. Prepares reports, support materials such as Power Point presentations, publications, charts, and manuals as necessary.
Prepares meeting minutes, orders supplies and equipment; makes all travel arrangements and interacts effectively with on and off campus offices/constituents. Monitors reports on office expenditures.
Serves as a university liaison for internal Student Affairs departments regarding the collection sand campus-limited distribution of confidential data. Employee will maintain confidentiality and follow HIPAA, FERPA, federal, state and professional and University regulations.
Trains and supervises other subordinates as necessary in accordance with established university procedures, policies and practices.
Advertised Minimum Qualifications :
High school diploma and 10 years related experience in business management, public administration, or administrative services, or Bachelor's degree and 6 years related experience in business management, public administration, or administrative services; or equivalency. A successful background check is required.
