Provide critical support to the Vice President of Student Affairs to help ensure the smooth functioning of this office and to contribute to its continual improvement. The Executive Assistant will be expected to handle sensitive and confidential information with great discretion, including budget information as well as confidential student-related information. This individual will perform a number of critical functions and must be comfortable operating in a dynamic environment where priorities can change quickly. This individual must be able to work independently and in a directed fashion to carry out a wide range of responsibilities. The Executive Assistant will serve as the front-line and front-facing person for a variety of constituents including students, parents and families, faculty and other stakeholders.
This is a full time, benefits eligible, hourly position with a hiring range of $26.30- $32.90 per hour.
Core Responsibilities:
Responsible for all calendaring and scheduling needs of the VPSA and other senior leaders of the division as needed including scheduling ongoing meetings and large group or commitee meetings.
Serves as the primary first contact for all visitors, calls and other contacts to the office of the Vice President and provides excellent, professional and warm customer service to all those that contact the office
Manages one-off and ongoing projects for the VPSA and other senior staff within the division that involve gathering and synthesizing information from internal departments, other colleges and universities, and other organizations.
Serves as the primary administrative support person for key commitees led by the VPSA and other leaders of the Division including community council meetings, student advisory meetings etc.
Serves as the main administrative support contact for the Admin Committee which requires consistent time commitment for meeting, minutes, letter generation and follow-up correspondence and other action items
Leads event planning efforts for major VPSA-hosted events including Divisional meetings and celebrations, Student leadership awards, and other events.
Provides support to President's office and other senior leaders for critical College events such as commencment, Board of Trustee meetings and other major college events

Requirements
Position Prerequisites:
Bachelor's degree or related experience required.
Strong organizational skills: attention to detail and ability to manage complex projects to timely completion.
Excellent written and verbal communication skills
Exceptional ability with Word, Excel, Outlook calendars, and PowerPoint required. Web page editing, using Drupal, desired.
Must have the ability to juggle multiple tasks in a face-paced environment. Work both collaboratively and independently. Willingness to step in where necessary.
Build and maintain a positive working relationship with staff and faculty across the institution
Demonstrate a strong professional customer service attitude
Ability to maintain strict confidentiality in all aspects of the Student Affairs Division
Physical Demands and Working Conditions:
Some evening and weekend hours needed. Ability to provide support during student-related crisis
