About the Opportunity:
The Administrative Assistant will provide general administrative support to the student services team on our Boston campus. Duties include helping the undergraduate and graduate student services teams, both academic advising and coop. This includes maintaining the front desk part-time, directing and assisting students, organizing and scheduling events, managing and troubleshooting meeting technology, maintaining office equipment, generating purchase orders, reconciling expenses, email communications, answering department telephones, and ordering office supplies. The Administrative Assistant will assist with department and student events, including workshops and seminars; including assisting with student group events (undergraduate and graduate), booking rooms and ordering food.
Responsibilities:
Point of Contact / Customer Service : Serves the as the receptionist and point of contact for undergraduate academic advising, graduate academic advising, undergraduate coop, and graduate coop for the college. This includes email communications, answering telephone, and fielding in person requests.
Assists with the planning of events and coordination of activities needed for each of the departments; undergraduate and graduate academic advising, undergraduate and graduate coop. This includes, workshops, regular student events, and student group support
Data gathering, analysis & reporting: Gathers, organizes, and reviews data from a variety of sources for record keeping, reporting and program management. Basic proficiency with MS Office products, including Microsoft Word, Excel, PowerPoint and Outlook.
Assists with special events as needed, such as summer bridge program, admissions events, graduation, and college orientation.
Carries out special assignments by completing activities, monitoring progress, and ensuring work is completed accurately and on time.
Qualifications:
Knowledge of office administration practices and processes; basic level of proficiency with MS Office products, including Microsoft Word, Excel, PowerPoint and Outlook. Skills required include ability to plan, organize and set priorities; time management; attention to detail, interpersonal and written communication skills. Ability to carry out special assignments by completing activities, monitoring progress, and ensuring work is completed accurately and on time. Skills and knowledge for this position are typically acquired through the completion of an Associate degree or equivalent and 1-3 years' relevant experience.
