General Description:
Provides leadership and assistance to staff and students regarding complex billing and payment issues. Assists the Director in planning, organizing, and directing the Office of Student Accounts. Major functions include oversight of the computer based billing/accounts receivable system and the receiving, recording and accounting for student revenues. Individual must be flexible to work at all campus locations, evenings and overtime as the needs arise. Represents the Office of Student Accounts and makes necessary decisions in the absence of the director.
Characteristics, Duties and Responsibilities:
Oversees the daily operations of department including:
o Ensuring proper coverage at all campus locations.
o Monitoring of attendance, leave requests and overtime.
o Making work assignments as needed.
Collaborates with other student service areas to provide a comprehensive and dynamic customer service environment for students.
Works with the One-Stop Managers to ensure that Student Development staff are properly trained and that Student Accounts policies/procedures are being followed.
Prepares training materials and presentations for on-going Student Development staff training sessions.
Works with the Director to ensure that proper internal controls are in place to safeguard College assets and that the accounting records are accurate and complete. Performs periodic random tests of the procedures (e.g. surprise cash counts) and make recommendations for changes as needed.
Verifies that daily cash receipt reports reconcile with bank deposits. Reports errors to the Director and does appropriate investigations and corrections. In consultation with the Director provides appropriate guidance to the staff member so that future errors are eliminated.
Maintains the rate tables for the computer based billing system and makes appropriate updates to reflect tuition and fee changes.
Writes rules, creates saved lists and generate reports from Colleague and the ODS.
Works with the Information Technology Department to ensure that billing and reporting systems are working properly. Oversees the testing and implementation of system updates.
Assists the Director in the design and implementation of new Colleague functionality.
Responsible for the preparation, review and execution of the daily de-registration process. Includes appropriate communication with students and other College departments
Monitors the usage of and prepares requisitions for department supplies and materials.
Assists the director in developing office policies and formulating implementation workflows.
Assists the Director in developing periodic assessment reports. Sends periodic student satisfaction surveys, analyzes the results and makes recommendations for improvement.
Assists the Director with the development and implementation of the office Communication plan.
Manage the student refunding process and prepare documents for approval by the Director.
Oversee third party billing activities.
Serve on College governance committees.
Performs cashiering and other student service functions during peak periods.
Performs other duties as assigned.
Education Requirements:
Requires a Master's degree in Business or Finance, or an equivalent combination of education and experience to demonstrate core competencies.
Experience:
Two (2) years related administrative experience at a College or University is preferred.
Strong knowledge of Colleague and ODS reporting is highly preferred.

Physical Demands and Work Environment:
This position's duties are normally performed in a typical interior/residence work environment, based on the activity scheduled.
Some physical effort required; however, the employee must occasionally lift and/or move up to 25 pounds.
No or very limited exposure to physical risk.
