Summary of Duties:
The Chemistry Academic Administrative Assistant provides academic and administrative support to the Department of Chemistry in the College of Arts and Sciences. This position serves as the primary point of contact for the department and is responsible for independently planning, organizing and prioritizing work, developing graduate travel itineraries for visitation weekend, compiling reports, the department newsletter, assisting the Chair under the direction of the Finance/Budget Manager with faculty tenure, promotion and review processes and procedures. The position initiates actions to ensure work unit and office goals are met and has frequent contact with students, clients, the public, and faculty/staff. Assignments and projects are of a complex nature requiring substantive knowledge of a variety of regulations, rules, policies, procedures, and processes. The Academic Administrative Assistant is responsible for the coordination of assigned graduate/undergraduate programs, recruitment, admissions, retention, scholarship program, and assisting with faculty annual review and tenure and promotion.
Required Qualifications:
High School graduation or equivalent AND three (3) years of progressively responsible experience in office/clerical, secretarial, bookkeeping, accounting, or general administrative work; OR equivalent education/experience.
Experience providing support and/or coordinating activities related to student services OR equivalent experience.
Experience with event planning, prioritizing or scheduling events or rooms, OR equivalent experience.
Preferred Qualifications
Demonstrated ability to simultaneously manage several projects and solve problems.
Advanced working knowledge of Microsoft Office software, specifically Outlook, Word, Excel, and PowerPoint.
Experience working in higher education.
Ability to interpret and apply and communicate rules and processes.
Demonstrated ability to adapt and be flexible in a changing environment.
Demonstrated willingness to learn new skills and take on new challenges.
Recent demonstrated knowledge and understanding of WSU policies and procedures.
