Health and Counseling Administrative Support Specialist
Position Summary: The position provides administrative support and coordination to the Health and Counseling Centers. Must be able to support and promote the University's inclusive Mission, its Catholic identity, its diverse student population, and its academic programming in the liberal arts and professional education and encourage staff and students in this regard.

ESSENTIAL FUNCTIONS:
Serves as the initial point of contact for all visitors to the office, in particular faculty and staff experiencing physical illness and students experiencing physical illness or mental/emotional distress.
Addresses the immediate concerns of parents, students, faculty/staff and guests (including those who may be upset, frightened, and/or angry) via in-person, phone, and email contacts and refers to the appropriate department, individual, etc.
Schedules all health and counseling appointments and enters all initial patient data and information into the appropriate electronic medical record (EMR).
Adheres to the unique ethical and legal guidelines/ rules pertaining to both the health and counseling professions. Maintains strict confidentiality at all times.
Supervises work-study students, monitoring their hiring and weekly time entry in the university's software system as well as overseeing their day-to-day work responsibilities.
Serves as an integral member of a diverse, multidisciplinary team of health care professionals, including: CRNP, RN's, psychologist, therapist, counselor, psychiatrist, and physician.
Develops and maintains cooperative relationships with community healthcare providers and referral sources.
Evaluates, updates, and creates office forms and generates reports regarding utilization rates. Assists with completion of annual and other reports as necessary.
Schedules staff appointments and meetings exercising judgment concerning priority; Arranges for participation in conferences, meetings, and special events; Makes travel arrangements. Participates in trainings.
Interprets policies and procedures and provides authoritative information to others.
Prepares and maintains budgetary and financial records and other related documents for both departments; Monitors both budgets and reviews financial documents; Recommends purchases and expenditures.
Serves on university committees as appropriate.
Supports the department and division by participating in university special events and initiatives such as summer orientations, open houses, etc. as appropriate.
Encouraged to get involved in engagement opportunities for students across the division and the university such as: ABST (Alternative Break Service Trips), T.R.A.V.E.L.(Transforming Residents Abroad via Engaged Learning), student OTR (Orientation/ Transition/ Retention) groups, and/or other small group initiatives.
Performs other duties as assigned within the scope and responsibility, and requirements of the job.
SUPERVISORY RESPONSIBILITIES:Reporting to the director(s) of the Health & Counseling Office, this position works under limited supervision but may receive instruction from and support other healthcare professionals. This position may assign and check the work of work-study students within the department. CONTACT WITH OTHERS:Internal: Has contact with administrators, faculty, staff, and students exchanging information and resolving problems, and responding to requests for service.
External: Has contact with the general public, responding to inquiries, arranging meetings, and securing information. Has regular contact with parents and other healthcare providers.
Required Qualifications: Education: Educational background equivalent to a high school degree/GED. Post-high school education preferred.Experience: Three years of secretarial and/or office management and administration experience with a working knowledge of Microsoft Office products and office equipment. Experience working with the public and managing various types of distress in a diverse population is required.
Skills: Must possess the following skills: ability to remain calm and clear-headed in situations involving high emotion and/or physical and/or emotional risk such as: a student considering suicide and/or an employee with chest pains. Ability to quickly assess and prioritize patients care needs while simultaneously managing others in the waiting area and incoming phone calls. Demonstrate a welcoming and respectful attitude at all times. Demonstrate openness to interacting with a diverse student and employee population, including a growing international population, many of whom do not speak English fluently.
