The Director of Student Accounts manages and supervises functions of Student Accounts within Student Financial Assistance.
Essential Duties & Responsibilities
Maintain billing and financial aid code files, and billing rules, assess late fees as appropriate, and produce monthly statements and initial semester billings.
Act as liaison to student account billing portal servicer. Keep abreast of all portal software updates, and complete setup each semester for billing, payment plans, and student/family notifications.
Work with all offices on campus to ensure students receive proper billing credits/charges in a timely fashion.
Interact with parents/students to answer account questions and assist those unable to meet tuition deadlines to advise on alternative financing options.
Maintain a process for adding and removing holds related to student account balances.
Approve and review student refunds before submitting them to Controller’s Office.
Maintain and update Student Account information on the Stonehill website.
Work with Business Manager on issues pertaining to meal plans and Hill Cards.
Manage Hill Dollars upload process in coordination with IT.
Set up meal plans for students at the start of the semester.
Collect delinquent student accounts including those related to returned payments, withdrawals, graduation, and unpaid payment agreements, sending to collection as appropriate.
Primary on-campus contact working with student health insurance provider to coordinate student health insurance waiver/acceptance process working with IT, including keeping records, making payments to health insurance companies, and providing information to families.
Work with tuition refund insurance company to coordinate annual publications to students and process claims paperwork.
Calculate eligibility for refunds under federal Title IV regulations for all withdrawing students.
Prepare schedules for housing charges/refunds.
Act as liaison to student account billing portal servicer. Keep abreast of all portal software updates, and complete setup each semester for billing, payment plans, and student/family notifications. Update the portal with information about families, and payment plans.
Reconcile student account information with Controller’s Office and with financial aid award information.
Keep financial records and statistics of billing and collection data; prepare semester-end reports for auditors.
Produce annual mailing of 1098T forms to all students and submission of data to IRS.

Supervisory Responsibilities:
Directly supervises the Student Accounts Coordinator and Cashier. Carries out supervisory responsibilities in accordance with the College’s policies and applicable laws. Responsibilities include participating in the hiring process for these staff members; planning, assigning, and directing the work of the Student Accounts Coordinator and Cashier; appraising their performance and disciplining same; and addressing complaints and resolving problems (in conjunction with the Director) related to these supervisees.
Education & Experience
A Bachelor’s degree from a four-year college or university; and/or at least five years of related experience and/or training is required.
