Basic Function and Responsibility:
In collaboration with Student Affairs and Academic Affairs leadership and under the general supervision of the Assistant Director of Enrollment for Equity Outreach, provide operational leadership to the Emory Williams Academy (EWA) for Black men. Leading a high touch student program, coordinate all aspects of the EWA Program, which includes the active recruitment, advising, enrollment/registration, and educational activities of students identified as a part of the program. Actively collaborate with internal and external partners to support the effective operation and measured growth of the EWA program. Successful engagement with EWA program participants will require staff availability during some evenings and weekends.
Characteristic Duties and Responsibilities:
Coordinate all aspects of the EWA Program and support for student participants: recruitment, advising, registration, and engagement activities for enrolled students. This includes the development and management of a comprehensive onboarding and orientation program.
Serve as the main point of contact for all enrolled EWA program participants, as well as community members that express interest in enrolling in the EWA program.
Maintain and actively update the EWA program agreement. Ensure each EWA participant understands, signs, and actively adheres to the program agreement outlined.
Actively work with the identified Oakton leaders and partners to coordinate strategic enrollment and retention activities in order to target specific outcomes for actively enrolled EWA participants. This includes convening staff members with specific job responsibilities identified to support the success of individual scholars (i.e. Student Care Coordinators, Student Experience Navigators, etc.)
Maintain weekly, monthly, and semester reports that identify the following:
Student referrals and students that express interest in enrolling at Oakton and participating in the EWA program. Students that have completed an Oakton application and their place in the enrollment and registration process (i.e. completion of FAFSA, scholarship applications, registration for classes, etc.). Enrolled student communication, academic progress, and completion of course work.
Supervise and monitor staff and student ambassadors assigned to support the EWA Program.
Monitor and report on budget expenditures assigned to the EWA Program. This includes allocated operational resources provided by the college as well as internal and external grants awarded to support the program's success.
Convene regular meetings of EWA program partners assigned to support the success of students within the academy (i.e. Financial Aid, Advising, Tutoring Center, Wellness, Student Life, etc.). Lead the organization of plans that serve to clarify the availability of services and planned activities for students in the academy.
Identify and convene an EWA advisory committee and collaborate with them in order to support program development. The committee should include both college staff, faculty, and Oakton district community stakeholders.
Work with Institutional Research staff to establish baseline data regarding EWA enrollment and retention. Develop key performance indicators and systemically track success of program initiatives for continuous improvement.
Participate in the development and submission of internal and external grants designed to secure additional resources for students, which support lowering college related expenses and activities.
As directed, produce written reports and updates related to program activities and general assessment. This may include preparing reports and related correspondence that may be requested by state and federal agencies or grant agencies, which reflect compliance with professional and legal standards and Oakton's commitment to delivering quality programs and services.
Perform other job-related duties as assigned.
Qualification and Working Conditions:
Bachelor's degree from an accredited college or university required.
Experience actively serving students and/or administering high touch programs within an educational setting that support engagement and persistence of students seeking to achieve identified goals.
Two years of experience in related field is preferred.
Knowledge of working with traditionally underserved populations.
Excellent verbal and written communication skills.
Excellent organizational skills and attention to detail.
Ability to create, understand, and implement a budget.
Proficient with Microsoft Office Suite or related software.
Excellent project management skills and ability to prioritize work and resources.
Light lifting up to 10 lbs. and light carrying up to 10 lbs. Ability to reach above shoulder. Periods of time spent sitting, standing, walking, kneeling, bending and stooping. Mobility to move from building to building on-Campus and to visit off-Campus entities. Work is performed in a general office environment and is sedentary in nature. Little or no exposure to adverse working conditions.
Administrative supervision is received from Assistant Director of Enrollment for Equity Outreach.
Functional supervision exercised on assigned student employees and contracted community ambassadors.
HOURS: Monday - Friday 8:15 am - 5:00 pm (Hours may vary due to the needs of the College)
