Summary of Position: | This position is responsible for providing exceptional customer service and support to students, faculty, staff, and visitors at the Ferris State University office in Grand Rapids, MI. Serving as the initial point of contact for all individuals visiting the student services office, in-person, online, by email, and over the phone, this position assists with scheduling appointments, registering students for classes, addressing student inquiries, and collaborating with other departments to resolve student issues and concerns. This position is critical in ensuring that students receive the support and guidance they need to navigate their academic experience at Ferris State University successfully. This is a full-time position that operates in an on-site professional office environment. The normal work schedule is Monday through Friday, 8:00 am to 5:00 pm, with some flexibility to adjust hours and work until 6 pm if needed, as well as occasional evening and weekend hours.

Required Work Experience: | At least one year of secretarial/office experience with demonstrated skills using standard office equipment. Documented ability to utilize various software programs and communicate effectively (orally and in writing). | |

Essential Duties/Responsibilities: | Maintain and update filing and recordkeeping systems. Greet and welcome students, faculty, staff, and visitors in a friendly and professional manner. Answer phones and email and responds to inquiries from students, faculty, staff, and visitors. Accurately input, send, retrieve, and maintain information using a mainframe computer and/or various software. Provide accurate information about university policies, procedures, and services to students, faculty, staff, and visitors. Investigate concerns, research and compile data, and work to resolve discrepancies. Maintain and update filing and recordkeeping systems. Assist with scheduling appointments and registering students for classes. Assists with student account inquiries, including billing and financial aid. Review student applications and financial aid forms, and generate standard responses according to established guidelines. Collaborate with other departments to resolve student issues and concerns. Maintain accurate and complete records of student interactions. Assist in training and assigning work to student employees. Maintain up-to-date knowledge of federal and state regulations and maintain confidentiality. Perform general office and receptionist duties, provide information, collate and distribute information, answer the multi-line telephone, take messages, and schedule meetings/appointments. Type, draft, compile and proofread various documents, forms, etc. Monitor and maintain adequate office supplies, recruitment materials, forms, etc. and initiate payment of office purchases. Carries out responsibilities in accordance with university policies and applicable laws and regulations. Maintain confidentiality of designated information. Demonstrates an understanding of diversity, equity, and inclusion, especially in working relationships with students, faculty, staff, and community members. Any other duties assigned within the position classification area. Report to the immediate supervisor as assigned. | |
Marginal Duties/Responsibilities: | Provide backup and assistance for other positions and perform routine office support duties.

Apply the rules of proper grammar, correct spelling, and punctuation, and properly arrange the information. Utilize computer software and mainframe programs and systems. Perform basic mathematical and record-keeping duties with high accuracy and attention to detail. Operate office machines and specialized equipment such as computers, copiers, and multi-line telephones, and make minor adjustments (requires some mechanical aptitude). Experience working directly with people from diverse racial, ethnic, and socioeconomic backgrounds. | |
