Duties of Position: Responsible for the interpretation, processing and integrity of academic documents such as applications, high school college transcripts, and ACT/ SAT transcripts. Maintains students’ physical and electronic files and assures data accuracy and standardization. Communicates with students to provide and process information in response to inquiries, concerns and requests of applications and transcripts, both in person and in writing.
Reviews student applications for completeness and codes application information as required.
Enters application information onto the ERP system and utilizes associated reports to monitor the process.
Strategically plans and assesses admissions applications as the College is implementing and maintaining the new CRM system.
Processes transcripts including the accurate coding of information in the ERP system.
Establishes and maintains student files, checking for transcripts and ACT/SAT scores, including scanning and verifying of all documents.
Receives, interprets and processes student academic data such as high school grade point average, class rank and related data.
Determines appropriate admission status and associated requirements for general applicants.
Works in partnership with the Business Office in monitoring online application fee payments.
Collaborates with the One Stop office to provide student services support for new incoming and current students.
Assists the High School Partnership office with daily administrative operations, including admittance to the college, registration, attendance and the onboarding of new high school instructors.
Prepares and forwards application status, acceptance, and other relevant letters and emails to students. Provides necessary troubleshooting for letter generation.
Keeps written documentation of information and referral contact into the new CRM Ticketing system.
Utilizes reports to monitor and ensure data accuracy defined through state and College standards in the ERP system.
Monitors, interprets and provides for corrective resolutions in errors associated with applications unsuccessfully processed via the internet.
Responds to students via email, phone and provides counter assistance. Provides admission information to prospective students and general information to current students. Assists both general and selective admission students in problem solving and refers individuals to appropriate resources as needed.
Assists with the training and supervision of temporary staff, student aides and cross training of other college personnel.
Assists in the proactive monitoring of office supply inventory.
Purges student files on an annual basis.
Performs related duties as assigned.
Educational Requirements: High school graduate or equivalent with minimum 45 wpm keyboarding skills. Associates degree preferred.
Experience Requirements: Two years general office experience. Customer service, record keeping experience and familiarity with Microsoft Office required.
