DEPARTMENT OVERVIEW
Originally founded in 1997, the Baskin School of Engineering is the first professional school at UC Santa Cruz. Over the past 20 years, Baskin Engineering has become a unique 21st century school of engineering and technology, characterized by evolutionary growth fueled by on-going research opportunities that open new areas of intellectual inquiry. Baskin Engineering has grown to include six academic departments, a variety of research centers and institutes, and has ambitious plans for further programmatic growth. The focus of Baskin Engineering educational programming is to instill strong basic knowledge for sound practice in science and ethical engineering for the well-being of society. Its diverse curricula facilitates creative thinking and prepares students for productive and rewarding careers. Baskin Engineering is focused on building collaborative connections and expanding instruction and research activities for faculty and students at UC Santa Cruz, both at its Santa Cruz campus and at its campus in Silicon Valley, the international center of technological innovation.
The Programs Assistant supports a wide range of programs and opportunities for BSOE students, including scholarships, honors and awards, events and workshops, outreach, student success initiatives and programs. This position will provide administrative support for the Baskin Engineering's office of Student Excellence, Engagement, and Inclusion.
The Office of Student Excellence, Engagement, and Inclusion (SEEI) in the Baskin School of Engineering (BSOE) is responsible and accountable for the operation, development and implementation of programs and services in student outreach and recruitment, student development and academic enrichment specific to Baskin Engineering.
APPOINTMENT INFORMATION
Budgeted Salary: $26.12 - $29.26/hour. Salary commensurate with skills, qualifications and experience. Under California law, the University of California, Santa Cruz is required to provide a reasonable estimate of the compensation range for this role and should not offer a salary above the posted range. The salary shown above is the budgeted range the University reasonably expects to pay.

JOB DUTIES
70% - Operational and Administrative Support
Assists in overseeing the budget for office and special events.
Drafts letters, emails, and cards to be signed by Director and staff; proofreads and edits documents.
Reserves conference rooms and equipment for meetings and presentations.
Orders and inventories supplies for SEEI office.
Provides administrative and logistical support for projects, initiatives, and programs.
Assists Director by maintaining calendars.
Assists SEEI staff in preparing and formatting documents, including PowerPoint presentations.
Develops and maintains systems for tracking including calls for proposals and responses to proposals; student contact information for programs, faculty programs, etc.; maintains databases and mailing lists.
Assists in the orientation of new staff, student staff, graduate researchers, and fellows by providing them with the necessary documents and materials for onboarding.
Organizes meetings and zoom calls, including the preparation and distribution of documents.
Takes meeting minutes.
Assists Program Coordinator in maintaining website by creating and monitoring forms.
Acts as a resource person for students, interns, faculty, staff, and volunteers as required.
Performs other related duties in accordance with instructions from SEEI staff.
Conducts research and support to one or more staff members in regard to project and programmatic efforts. May supervise work-study students and volunteers.
20% - Workshops, Initiatives, and Events
Coordinates logistical arrangements for workshops/events with guests and staff regarding travel, hotels, logistics, and catering services.
Assists program coordinator and guests to ensure smooth functioning of activities.
Coordinates appropriate mailings or distribution. Prepares information packages and sends material to participants.
Serves as the contact person for the participants of events and workshops.
Assists with the writing, editing, and coordinating the development of, promotional materials, educational materials, training manuals, newsletters, and/or brochures, as appropriate to the program.
Maintains program/project records researches information, and gathers and computes various data; assists in the preparation of special and/or one-time reports, summaries, or replies to inquiries, selecting relevant data from a variety of sources.
Provides support for scholarship and awards.
10% - Travel Management
Assist students and staff with travel and conference registration. Responsible for formatting, distribution and filing of trip reports; reconciles travel expenditures for staff and students.
REQUIRED QUALIFICATIONS
High school diploma or equivalent training and/ or experience.
Work experience in an office setting.
Knowledge of computer systems and applications, including MS Word, Excel, Filemaker, PowerPoint, Google platform. Ability and willingness to learn new computer technologies and applications as needed.
Organizational skills with the ability to establish priorities and complete assignments in a timely manner under pressure and with interruptions.
Ability to interpret and apply comprehensive administrative and academic policies and procedures.
Experience managing web content and online resources.
Experience and ability to interact effectively with a diverse group of students, faculty, staff, and the public.
Verbal communication skills.
Written communication skills.
Ability to exercise good judgment and discretion when dealing with confidential matters.
PREFERRED QUALIFICATIONS
Knowledge of Majors, policies and procedures in a School of Engineering.
Experience working in an academic setting.
Familiarity with institutions of higher education academic policies and practices.
SPECIAL CONDITIONS OF EMPLOYMENT
Selected candidate will be required to pass a pre-employment criminal history background check.
Ability to work long periods of time at a computer with or without accommodation.
Will be required to work a hybrid work schedule, days of the week and number of days to be determined, and be able to fulfill requirements of the UCSC telecommuting agreement.
Ability to work occasional evenings and weekends as directed.
Selected candidate will be required to complete training within established time frames as directed including UC compliance training.
Ability to travel to multiple work locations on and off campus.
Ability to maintain appearance and conduct suitable for working in a professional setting.
