Position Summary:
This position provides confidential and administrative support to the Associate Vice President for Strategic Enrollment & Innovations (AVPSEI). The Administrative Assistant is responsible for controlling and managing the workflow for the AVPSEI. This position requires the candidate to maintain a highly professional demeanor and have strong organizational and communication skills. The selected candidate will be responsible for preparing reports, special projects, and presentations, organizing meetings, and interacting with the direct support of all areas reporting to the AVPSEI. This position works closely with the AVPSEI on strategic initiatives and requires the highest degrees of confidentiality, integrity, and trust. This position supports enrollment, retention, and completion initiatives of the College. The Administrative Assistant demonstrates sensitivity to and understanding of the diverse academic, socioeconomic, cultural, disability, and racial/ethnic backgrounds of community college students. This position may use varying styles and approaches that reflect an understanding and acceptance of the role of culture in a diverse, multicultural workplace.
Essential Duties and Responsibilities:
The following are the functions essential to performing this job.
1. Serve as a confidential assistant to the Associate Vice President for Strategic Enrollment & Innovations (AVPSEI).
2. Serve as a welcoming, effective, and efficient communicator when greeting callers and visitors, ensuring excellent customer service to all constituents via phone, email, and face-to-face communication.
3. Manage the AVPSEI calendar and staff leave calendars and schedule meetings with particular attention to meeting preparation, logistics, and briefings.
4. Attend meetings, draft presentations, record and disseminate minutes, prepare correspondence and other materials supporting initiatives.
5. Assist with the preparation of documents and reports as directed.
6. Develop and maintain systems to support the AVPSEI and automation of office processes using electronic forms.
7. Monitor budgets, including tracking and maintaining expenditures, reconciling accounts, providing reports, and preparing purchase orders, vouchers, and budget transfers.
8. Make travel arrangements (flights, hotel, conference registrations), and prepare travel itineraries and expense reports.
9. Perform procurement-related functions as needed.
10. Monitor correspondence from community members, both internal and external, regarding questions and clarifications.
11. Assist with special projects, including research, data gathering, comprehensive analyses, and database management.
12. Assist with reviewing and revising College policies assigned to the AVPSEI.
13. Serve as a resource person and proficiently use College operating systems (Microsoft Outlook, room scheduling, Peoplesoft and CRM, and other software systems.) and assist with processing applicants.
14. Perform other duties as required or assigned.
Salary: $29.87 hourly
