The School of Environmental and Forest Sciences (SEFS) in the College of the Environment has an outstanding opportunity for a Temporary Counseling Services Coordinator to play an important role in our Student and Academic Services Office to support students in our undergraduate and graduate programs.
SEFS is the largest school within the College of the Environment, with an advising office staff consisting of the Student and Academic Services (SAS) Manager/Graduate Adviser, and the Undergraduate Advisor, with support from the SEFS main office’s Office Manager and student assistants. SEFS aims to provide a safe and equitable environment, to create and maintain a culture of support and inclusion, and to celebrate and use our differences to better our educational, research, and science engagement efforts. The SAS team is seeking a temporary Counseling Services Coordinator to support both Undergraduate Advising and Graduate Advising in key areas. Undergraduate Advising supports two majors, ESRM and BSE (the only engineering major located in the College of the Environment) and two minors, with more than 500 students between both majors. Working with our Undergraduate Advisor, this position will assist in all undergraduate academic advising work, including responsibilities for advising, admissions, retention, student tracking, and successful degree completion. We matriculate new UW students in all quarters for the ESRM major, in spring and autumn quarters for the capacity-constrained BSE major, and in Summer-Winter quarters for ESRM transfer students.
Graduate Advising supports three degrees with about 100 students. Our degrees are self-directed by the students and their faculty advisors and involve individualized learning plans across the full graduate student body. Duties are similar to the duties of an Undergraduate Advisor but utilizing procedures developed specifically for graduate students. Our graduate program primarily recruits during January and February, followed by a March visitor event for accepted applicants. We primarily matriculate the new students in Fall quarter. The recruitment process requires attention to detail, and management of many communications including the management of admissions offers, our recruitment visitors event, and matriculation of the new students as they commit to the program.
DUTIES AND RESPONSIBILITIES
Under the supervision of the Student and Academic Services Manager, this position will support the following activities:
New Student Recruitment, Orientation and Guidance Provide key advising guidance for new majors and incoming transfer students in all available undergraduate degrees. Identify opportunities to improve diversity, equity, and inclusiveness in our program in support of these goals. SEFS is committed to recruiting, retaining, and supporting a diverse student body, and in contributing to diversification of the fields where our students will be employed. Attend advisor meetings as directed in both the College of Environment and the College of Engineering. Work on BSE recruiting efforts and program support.
Student Retention & Degree Completion Assist in engaging students in academic planning consistent with their personal and professional goals. Provide students with consistent contact and support each quarter. Evaluate individual student progress and provide supportive intervention and outreach to students, counseling and referrals to university resources or community agencies for personal or academic issues. Assist in managing the student petition process for special registration circumstances and major/minor requirements. In collaboration with SAS Manager, assist with SEFS student events such as end of year Graduation and Capstone presentations and key Graduate Student events. Review graduate students’ transcripts for graduation requests and completions, exam completions, and procedural implementation, per SAS Manager’s guidance.
MINIMUM REQUIREMENTS
Bachelor's Degree in related field. Minimum of three years of experience in student academic counseling, academic administration, academic program recruitment, and curriculum management.
Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.
ADDITIONAL REQUIREMENTS
Familiarity with UW academic systems and UW data systems (e.g., EARS, DARS, SDB); project management skills; basic database and spreadsheet (e.g., Access, Excel) skills.
DESIRED QUALIFICATIONS
Experience in program planning and management, preferably student services. Experience with UW BIPortal. Undergraduate Advising experience in STEM. Experience with Graduate Advising within the UW, the MyGrad program, and Graduate School policies. Demonstrated excellent communication skills, excellent interpersonal skills, organization and planning skills, attention to detail, information technology skills, and data analysis skills. Demonstrated success in working with diverse populations. Demonstrated ability to work independently, as part of a team, and to lead others. Articulate and able to present well in writing, verbally, and via technology.
