Position Summary: The Financial Aid Coordinator is part of the Financial Aid Administrative team and assists in monitoring federal and state regulations and establishing policies and procedures within the Financial Aid Office. Under the supervision of the Assistant Director of Financial Aid, the Financial Aid Coordinator is responsible for daily operational tasks for one or more assigned areas of specialty. Specializations may include but are not limited to Federal Program Administration, State Programs Administration and/or Scholarship Administration.
Essential Job Duties and Responsibilities: • Responsible for developing an understanding of operating procedures, training materials and compliance/data integrity safeguards for the Federal and State financial aid application processes. • Coordinates the process to import all FAFSA applications into Banner. Review FAFSAs, resolve conflicting information and rejected FAFSA applications. • Performs administrative tasks to resolve all financial aid overawards and overpayments. Return financial aid funds as needed. • Coordinates the administration of federal and state financial aid programs including, but not limited, verification processes, Direct Student Loans, Pell Grant Program, College Work Study, the Michigan Reconnect Scholarship, Futures for Frontliners, Tuition Incentive Program, and Michigan Achievement Scholarship. Determine student eligibility and resolve discrepancies. Report enrollment information to the State of Michigan and request reimbursement. • Coordinates the administration of institutional scholarships including, but not limited to, President’s, Excellence, Trustees, and Departmental Scholarships. • Implements policies and procedures as guidelines for the scholarship committees in determining scholarship awards; serves as a member on the WCC Scholarship Committee. • Monitor scholarship award recipients to ensure adherence to the scholarship criteria to maintain the award. • Hire, train, coach and supervise part-time staff. • Analyzes and resolves all student eligibility issues. Access Federal, State and other outside websites as needed. • Monitors students’ enrollment, adjusting awards as eligibility changes. Ensure students are not receiving financial aid at other institutions. • Performs independent and analytical decisions to determine eligibility for financial aid on a case-by-case basis. • Responsible for professional judgment decisions for students regarding income changes, special family situations, unaccompanied homeless youth, and other sensitive situations. • Communicates and coordinates with various outside organizations regarding specialized scholarships. Work collaboratively with other offices at WCC as needed. • Provides exceptional customer service over the phone, email, chat, virtual meetings and face-to-face to students and their families. • Represent the College and the Financial Aid Office by preparing and giving presentations to various constituents. Topics may include how to apply, financial aid regulations, processes and eligibility requirements. • Attend conferences, seminars, webinars, and workshops to continually obtain professional and technical knowledge on State and Federal regulations which impact compliance for the College. • Regular attendance on campus is required for this position. • Performs other duties as assigned.
Hours/Schedule: • Work schedule will typically be day-shift hours (8am-5pm) on campus, with occasional nights or weekends.
Minimum Required Knowledge, Skills and Abilities: • Bachelors’ Degree in a related area OR equivalent combination of education and experience. • Minimum of one (1) year full-time work experience in financial aid or related student service area. • Exceptional communication skills, including documentation experience. • Organizational and project management skills to handle multiple and varied tasks. Interpersonal skills sufficient to work effectively with various College and community constituents. • Ability to provide clear and concise written communications. • Ability to anticipate and prepare for conflicts and problems, and proactively resolve them. • Ability to create and maintain a collaborative, productive team environment. • Effective listening and understanding of cultural and individual differences among faculty, staff, and students. • Ability to understand and explain institutional policy and procedures to students, parents and staff. • Ability to work in a high demand and stressful environment. • Ability to appropriately handle confidential matters and difficult decisions.
