POSITIONSUMMARY: Reporting to the Manager of the Teaching & Learning Center, WRIT Center, and Testing Center, the Administrative Office Professional creates a welcoming, inclusive environment for students seeking learning support; provides comprehensive office assistance for students, faculty, and departmental staff; and coordinates academic referrals through the Early Alert Program.
The primary responsibilities are: providing service excellence at the front desk, scheduling learning support appointments, entering academic referrals into the database, conducting Early Alert outreach/follow-through, troubleshooting student and faculty inquiries, supervising and training student assistants, preparing onboarding and offboarding materials for staff, assisting with assessment projects and reporting, drafting requisitions, assisting with budget monitoring, and providing administrative office support services for the Manager, Coordinators, Technologist, Student Development Specialists, and TLC and WRIT Consultants.
This position is recognized as the primary resource person in the department and must gain/share a broad knowledge of college and department policies, procedures, and operations. This position requires service orientation, exceptional communication skills, and the ability to manage/follow through on multiple tasks to meet deadlines. The individual in this position must be extremely friendly, dependable, self-motivated, and detail-oriented.

Learning Support:
Welcoming students into the TLC and WRIT Center and connecting them with the requisite services, resources, and staff that support their academic success.
Conducting outreach to students identified by faculty through the Early Alert program, offering assistance in accessing learning support opportunities, and ensuring the timely follow-through of Early Alert activities.
Scheduling tutoring/academic coaching/writing assistance appointments for students with appropriate consultants.
Referring students to other campus resources and services when appropriate.
Administrative Office Support:
Employing service excellence at the TLC front desk, demonstrating care, knowledge, and follow-through in providing information about college and departmental policies and procedures.
Serving as the primary support person for faculty, staff, and student inquiries; responding to general questions as received, either in-person or by phone, email, or chat; and returning voicemails as needed.
Assigning tasks/academic referrals to TLC and WRIT Center consultants in TracCloud.
Assisting with data entering, collection, cleaning, and reporting for the TLC and WRIT Center.
Hiring, training, supervising, and evaluating student assistants to ensure a productive and inclusive working environment.
Preparing onboarding and offboarding materials to ensure permissions of new staff members and orienting new staff to departmental policies and procedures.
Collaborating with Marketing and adhering to their process to update the TLC and WRIT Center webpages with any content changes.
Keeping inventory of office supplies and ordering materials through established purchasing procedures, preparing requisitions for departmental purchases, and maintaining monthly budget reports.
Participating in departmental, divisional, and institutional meetings (to represent the area interests) as requested.
Office Technology Support:
Setting up and operating technology for individual and all-staff meetings, teleconferences, and workshops, conducting any online synchronous activities via Zoom or TEAMS, as directed.
Updating and maintaining departmental channels on MS TEAMS, by organizing staff schedules, taking/posting meeting notes, and developing shared documents/files, among other administrative support activities.
Effectively utilizing Microsoft Office applications (e.g., Word, Excel, PowerPoint, Forms, OneNote, Outlook, SharePoint, OneDrive, and TEAMS) to carry out job responsibilities.
Preparing TracCloud and Outlook calendars for staff as requested.
Entering academic referral information into TracCloud and CRM Advise database systems and following procedures established by the Early Alert task force.
Independently learning new technologies as necessary, both quickly and thoroughly, by reviewing online tutorials, enrolling in workshops/seminar trainings, and requesting assistance from other staff.
Other Position Support Responsibilities:
Other relevant learning support duties, upon request.
Required Qualifications:
Commitment to the community college mission and supporting student learning and success
Dedication to working with students from diverse backgrounds, particularly those who have been historically underserved in educational environments
Associate's Degree or equivalent knowledge and skills
One to three years of relevant work experience, particularly in service excellence and office support
Excellent attention-to-detail, organization, and follow-through skills with experience prioritizing multiple tasks and meeting deadlines
Intermediate-to-advanced technology skills (e.g., Microsoft Office Suite applications, scheduling systems, and student information systems); interest and ability in learning, utilizing, and documenting new systems, processes, and procedures
Strong interpersonal communication and collaboration skills in order to further departmental goals
Additional Experiences Considered:
Three to seven years of relevant work experience, particularly in service excellence and office support

Schedule will vary by semester, based on departmental needs. (In between semesters/terms and over Spring Break, staff schedules follow Library Hours, reverting to M-F 8-4:30 pm.)
Winter Semester
Mondays-Thursdays: 9:30 am-6:30 pm
Fridays: 9:30 am – 4:00 pm
