Days and Hours: AY: M-F 8:30am-4:30pm; SMR: M-R 8:00am-5:00pm
The Administrative Assistant will perform confidential administrative duties that conform to College policies and procedures. The ideal candidate will have superior computer skills to include database management, along with a proven record of time management skills and attention to detail qualities. This position will report to the Adult Basic Skills Director. Understanding of data confidentiality principles is compulsory.
Prepare confidential correspondence and reports on behalf of the Director to include student data to be distributed to college staff, community partners and state agencies.
Maintain program budgets and procure all required administrative and instructional materials.
Assist the Director with program planning and monitoring.
Schedule, attend, create agendas, take minutes, and distribute all necessary documents for the Director's meetings.
Attend local meetings and community outreach events to represent the Director and the ABS program.
Process all data pertaining to student intake information, test scores, and program completion.
Assist the Director in the review of performance data and contract compliance targets.
Compile and update spreadsheets containing ABS data for State, County, and College reporting.
Enter, review, and monitor student attendance data as required by LACES and attend all LACES trainings.
General office administrative responsibilities such as answering telephones, photocopying, scanning and faxing documents.
Confidential and professional communication with students, faculty, community partners, program funding agencies, and staff is an essential function of this position.
Comply with all safety, fire and smoking regulations.
Complete all mandatory compliance and safety training as scheduled by Human Resources.
Proven experience as strong and cooperative team member.
Proficient in Microsoft Office Suite, spreadsheets, and data management.
Excellent command of the English language both oral and written.
Excellent customer service skills.
Bilingual preferred, Spanish.
Superior organizational, time management, and attention to detail skills.
