The Graduate Records and Programming Coordinator in the College of Agriculture and Natural Resources’ Office of Academic and Student Affairs will manage and assist with a number of responsibilities related to the development, implementation, and maintenance of graduate-level student records systems. This position will also participate in the development of administrative and strategic goals, develop policies and procedures and data resources at the college level.
DUTIES AND RESPONSIBILITIES INCLUDE, BUT ARE NOT LIMITED TO, THE FOLLOWING:
45%Initiates and Supports Strategic Priorities Related to Graduate Education
In conjunction with Assistant/Associate Deans, identifies, initiates, and supports granting opportunities aligned with strategic goals related to graduate education.
Foster and demonstrate an environment which shares best practices for graduate education (share learnings through publications and presentations to units, colleagues and peer organizations involved in graduate education).
Develops and implements programming related to graduate education (e.g. supporting a proactive culture that nurtures student development and growth; supporting excellence in mentoring of graduate students).
Assistswiththeapplicationand/orimplementationofcollegeanduniversitypoliciesandproceduresrelated, but not limited to,suchthingsasstandingcommittees,fellowships and assistantships,graduateemployeesunioncontract,and graduategrievances.
35%Maintenance of Records and Support for Programming Related to Graduate Education
Monitors and oversees student records compliance and serves as a college-wide resource for faculty, staff and graduate students regarding academic regulations, rules, policies and procedures related to student records;
Maintains the integrity of academic records regarding updates to databases and policies; collects and interprets information to produce reports; monitors, reviews, summarizes, and drafts correspondence; monitors documents for correctness prior to distribution.
Monitors and provides access to various secure administrative forms either through AIS or the registrar’s office website.
Collects, analyzes and synthesizes graduate student data, making recommendations relevant to graduate student affairs programming and activities.
Assists with college events and committees related to graduate education.
Announces, collects, monitors, and reviews graduate fellowship appointment forms.
20%Support of CANR Office of Academic and Student Affairs (OASA)
Works cross-functionallywithotherstudentaffairsstafftohelpensurethesmoothoperationsoftheacademicsupportservicesinCANR.
Participates on committees, as required, to track and monitor student professional and personal conduct.
Works closely with unit staffon processing of graduate fellowships, assistantships, and travel support.
Supervision of student workers.
Unit Specific Education/Experience/Skills
Knowledge equivalent to that which normally would be acquired by completing a bachelor’s degree in a field related to the area of employment; one to three years of related and progressively more responsible or expansive work experience with student recordkeeping systems and/or enrollment management; experience with word processing, database and/or spreadsheet software; or an equivalent combination of education and experience.
Desired Qualifications
Knowledge of University policies and procedures; experience and knowledge of graduate programs (e.g., final degree certification process, guidance on course and program requirements, funding mechanisms, etc.). Experience with Slate, Campus Solutions, Registrar’s Office Forms Menu, Degree Navigator, ESAF, GradAudit, Microsoft Excel and Word, Qualtrics or MS Forms.
Experience with granting agencies, grant writing and submission. Strong customer service and interpersonal skills for effective communication with faculty, staff, and students; highly organized; problem solver; confidentiality; dependability; ability and willingness to adapt to a changing environment; ability to multi-task and focus with frequent interruptions and ability to meet deadlines; prioritize; event planning and coordination of logistics; self-motivated and innovative thinker with the ability to work effectively in a team environment.
