The College of Social Science Dean's Office is seeking an Executive Staff Assistant/S to support the Associate Dean of Academic Student Affairs and oversee the operational activities in the Student Affairs office.
Provides administrative support and oversees the operational activities of the Office of the Associate Dean for Academic & Student Affairs in the College of Social Science, as well as provides support to other positions within the College’s administrative offices, as needed. Schedules and arranges meetings, seminars, and conferences. Compiles and analyzes data to produce reports for dissemination within the College and University. Composes and edits correspondence and reports for the Associate Dean. Establish, maintains, and oversees confidential student records; manages confidential correspondence with undergraduate students. Creates and maintains databases related to undergraduate students, including data on student success initiatives in the College (e.g., STAR program); compiles and analyzes student data for purpose of distribution of reports to the Dean, Associate Dean, Assistant Dean of Student Affairs, and others. Serves as point of contact and resource for Chairs and Directors, faculty and staff across the College, and undergraduate students on University and College policies and procedures related to undergraduate education. Assists the Associate Dean in overseeing College of Social Science scholarship programs (including sponsored awards, research awards, and travel awards), College and University faculty elections, course scheduling for the College and units in the College, academic dishonesty reports, medical withdrawal requests, and other matters. Provides administrative support for a number of College committees (e.g., the College Committee on Curriculum and Academic Policy, the Dean’s Student Advisory Committee, the Associate Chairs committee, and staff meetings in the Office of Academic & Student Affairs). Coordinates Academic Programs processes, including monitoring program submissions, and reporting information to Departments and Schools. Processes various administrative action and transfer credit evaluation forms, as directed by the Associate Dean. Creates and maintains financial reports for various expenditures in the unit. Hires support staff, temporary/on-call employees, hourly students and graduate students. Supervises support staff in the Office of Student Affairs.
Unit Specific Education/Experience/Skills
Knowledge normally acquired through a high school education with course work in word processing, typing, shorthand, and grammar; five to eight years of related and progressively more responsible or expansive University work experience in maintaining account ledgers, word processing, spreadsheet, database, and presentation software; editing, composing correspondence, taking dictation; or an equivalent combination of education and experience.
Desired Qualifications
Bachelor’s degree in business, accounting, or a related field. One to three years of supervisory experience. Organizational ability and initiative. Exemplary interpersonal skills, including experience with intercultural and cross-cultural communication. Willingness to pursue training and other professional development opportunities as supported by the College. Experience with university systems such as Campus Solutions, EBS. Concur and D2L. Knowledge of University policies and procedures and particularly with regard to budgets, personnel, and students. Ability to multi-task yet give attention to detail with frequent interruptions.
