The Department of Health Policy and Management is seeking aSenior Academic Advisor who will provide key administrative, advising and program support to prospective, incoming, and current students in the departmentally based Master of Health Administration (MHA) program, and the LTVH Executive Education Program. This includes recruiting and admissions, advising current students, resolving academic and financial issues, tracking student progress, maintaining confidential student records, and maintaining and analyzing student data. The Academic Administrator will work within the HPM Office of Academic Affairs and will collaborate closely with highly accomplished executive and professional executive education professionals as well as prospective and current students, and talented staff across the Bloomberg School of Public Health. This position requires a highly organized, savvy professional who can communicate with tact and skill in a fast-paced, high-volume, professionally accredited office.
Specific Duties & Responsibilities
Recruiting, Admissions & Onboarding (30%)
Screens all MHA program applications prior to distribution to faculty review committee.
Creates and analyzes admissions reports.
Organizes and staffs faculty admissions review committee.
Coordinates and schedules admissions interviews.
Communicates program requirements and curriculum, application requirements, process, and admissions timeline via Zoom, phone, webchat sessions, and email.
Develops and maintains incoming MHA student onboarding resources site.
Develops and updates onboarding documents.
Manages onsite and virtual MHA special events including admitted student visitor days, onboarding webinars, orientation, special seminars, and open houses.
Screens all applications to the LTVH executive program.
Current Student Management (70%)
Represents the program to key stakeholder groups, including university leadership, program faculty, administrative staff, Executive/Advisory Committees as well as external faculty and collaborators.
Advises current students regarding curriculum requirements, program and School policies and procedures.
Assists MHA Program Director with coordinating and scheduling MHA Program Seminars throughout the Academic Year.
Creates and manages the scheduling of MHA Organizational Showcases with Residency Organizations
Schedules residency interviews (250+) for 1st year program students and manages all communications between students and preceptors for interview process.
Manages all preceptor and student rankings for match process in preparation for Residency Match Day.
Updates and maintains program documentation including Residency Agreement forms, Interview interests, and Residency Information.
Schedules and provides administrative support for MHA Advisory Board meetings.
Coordinates MHA Student Focus group each term.
Maintains MHA alumni list serve; develops and maintains MHA Programs yearly outlook calendar.
Provides academic and administrative support to part-time faculty who teach in the MHA program, including serving as the primary student contact for registration purposes and granting registration approval for capped offerings, identifying Teaching Assistants (MHA program 2nd year students), and providing technical help and assistance to teaching faculty using CoursePlus.
Acts as first point of contact for students in crisis (physical/mental health or academic progress); advises and refers students accordingly.
Monitors and ensures student enrollment and faculty grade submission for students each term; conducts research and resolves issues involving academic and grading problems with appropriate offices.
Monitors and tracks student progress and updates program tracking sheets and touchpoints accordingly.
Maintains secure electronic records systems, including those for confidential student records.
Maintains LTVH alumni list serve and program database.
Maintains and updates overall course schedule as speakers and lecturers are confirmed for each module; creates online surveys for each session.
Creates and maintains documentation including the participant Directory, participant lists, certificates etc.
Processes LTVH speaker payments; invoices; travel and other reimbursements for program faculty.
Reconciles and monitors MHA non-personnel budget as well as LTVH program budget.

Independently interprets and communicates University, School and program policies and processes.
Broad knowledge of the academic and professional degrees within the School.
Three years progressively responsible student services/academic experience.
Five plus years of progressively responsible and related experience.
Knowledge of software applications such as SIS, Webadmit, Microsoft Office 365.
