The Applied Research and Education Center (AREC) is an outreach service of Indiana University Southeast. The Center brings the research skills and expertise of the academy together with the practical knowledge and experience of local agencies to help organizations improve programming and services that benefit the community. The AREC brings current data and research to bear on issues that face our region in order to help local leaders make informed decisions and develop programs that can best meet area needs.
AREC is a fee-for-service operation of IU Southeast. Fees support student service learning in our Center and cover research related expenses including travel, administrative costs, supplies, and hardware and software needed to provide research services and products.
Job Summary
Office Assistant to the Director of the Applied Research and Education Center (AREC) and Office of Community Engagement (OCE).
Department-Specific Responsibilities
Performs administrative duties, manages project management system with attention to tracking project costs against project budgets, monitors department's monthly statements, submits receipts, orders office and project supplies, manages software subscriptions, logistics and payment for conferences, travel, and services related to AREC projects and OCE events. Duties include, but are not limited to purchasing, filing, duplicating, word processing, creating flyers and invitations, and communicating in person, by phone, and by email.
Maintains calendar; schedules appointments; arranges meetings; prepares and types correspondence; answers phone and responds to inquiries by answering questions and making referrals to appropriate office or individual.
Submits receipts for purchases to accounting services.
Prepares purchase orders for supplies and materials for office use; type and prepare other forms used by department.
Processes necessary financial documents, including but not limited to disbursement vouchers, accounts receivables.
Develops and maintains database structures for projects and costs, student hours and grant expenses.
Maintains calendar of expected project revenue as supplement to accounting services reports.
Maintains organizational, project, and grant proposal calendars.
Updates operations and student manuals as needed.
Assists in hiring process for hourly students.
Complies with the Family Education Rights and Privacy Act (FERPA) and other data confidentiality requirements.
Assists in coordination of AREC and OCE activities.
Submits requests for updates to AREC and OCE websites.
Prepares mailings.
Assists in preparing travel arrangements and filing travel reimbursements for Director.
Submits work orders for facilities and technology issues that may arise.
Performs other related duties incidental to the work described as required.
Qualifications
EDUCATION
Required
Associate degree or a minimum of 2 years of college coursework
WORK EXPERIENCE
Required
2 years of office experience
SKILLS
Required
Knowledge and skills in database management, Microsoft Word and Excel
Ability to work with a diverse group of people
Interpersonal skills
Organizational skills with ability to prioritize tasks based on organizational priorities
Proven orientation toward quality service
Willingness to learn Smartsheet--spreadsheet driven software
Positive attitude toward and respect for college students.
Ability to maintain positive and respectful relationships with the many IU Southeast offices that support our work and are part of our campus team
Preferred
Experience with SmartSheet or other project management/workflow software
Experience with Indiana University Southeast systems
Working Conditions / Demands
This role requires the ability to move up to 20 pounds. This position involves sedentary work such as remaining stationary for extended periods of time.
