The individual in this position supports and coordinates a fast-paced office and provides clerical support to the faculty and/or staff of the School of Arts, Sciences, Business, and Education. This position will be assigned to primarily support the Off-Campus Education program, providing essential communication, problem-solving and support to 200 graduate students in the Off-Campus masters programs, including design and management of the flow of information from recruitment through program completion including collaboration with multiple University student service units.
This is a part-time (20 hours per week) position.
Responsibilities (Include but are not limited to)
Acts as a liaison between the Dean and/or Director(s), specific departments and the general public.
Responds to requests for information regarding Off -Campus programs and events and refers complex requests to appropriate staff or faculty members.
Manages daily functioning of the Off Campus office, including supplies, mailings (including bulk), student record upkeep and other file management.
Schedules appointments and coordinates arrangements for meetings, conferences, and travel. Coordinates all logistics for Off-Campus events.
Organizes and maintains files and records in accordance with Off Campus Program procedures, and follows up on pending matters.
Generates, coordinates and maintains all surveys, agendas and reports for the program; assembles data and compiles statistical information.
Uses appropriate technology to compose and produce professional correspondence, minutes of meetings, presentations, spreadsheets, databases, reports and marketing materials (e.g., brochures).
Establishes own work priorities under the policies and procedures of the School/Department.
Uses appropriate discretion and judgment relating to the Dean's and Program Director's schedule, correspondence and commitments.
Recognizes and maintains circumstances of a confidential nature.
DEPARTMENT-SPECIFIC RESPONSIBILITIES
Manages the creation of, and updates to, student and adjunct information channels such as Blackboard communities, Student Handbooks for new cohorts, new student information packets and fully on-line, asynchronous orientation design and training modules.
Monitors and assists with student registration issues including resolution of registration holds, and regular updates to students in each cohort on submission of graduation application, capstone and cross-endorsement requirements;
Collaborates and communicates with the Registrar's Office, Bursar's Office, Financial Aid, and Health Services related to student questions and concerns, including collaboration with KTA to ensure a smooth transition of student enrollment and program expectations.
Supports students who step out of the program or need to retake a course by ensuring completion of required add/drop forms, revised plans of study, and communication with instructors concerning student status.
Assists in submitting texts for each session in the online bookstore system, copying course master shells in Blackboard to each course section (hybrid and online) by session, and communicating with adjuncts concerning student registration status, attendance, and progress toward completion;
Assists in processing adjunct contracts for each course; Supports adjunct professors by providing grade deadlines, information and instructions regarding entering final grades, and information about the end of semester adjunct professor survey
Manages student files, adjunct and supervisor record-keeping, course schedules, enrollment, and documentation related to graduate achievements, response to student feedback, and assistance to the OCM team in developing recommendations for data-based decisions based on student enrollment, progress and outcomes.
Assists with SASBE or University activities as directed by the SASBE Dean.
Provides immediate response to student questions, concerns and problems,
Supports identification and implementation of solutions within guidelines established by the program directors and University policy.
Provides identification, communication and recommendations to the Directors for program improvement based on observations, student feedback, and collaboration with University student services units
Manages, as appropriate, administrative and student support tasks in concert with similar SASBE roles and functions
Job Requirements:
Education & Experience
High School diploma or equivalent required; B.A. preferred
Related experience in educational, human services, or communications roles preferred
Three to five years' experience as an administrative assistant strongly preferred
Experience in higher education a plus
Demonstrated ability to communicate with and support adults
Other Qualifications
Demonstrated ability to work collegially, balance and prioritize assignments, manage multiple projects, problem solve and offer secretarial support to more than one person
Strong organizational, interpersonal, and customer service skills; ability to manage changing priorities and meet deadlines
Demonstrated excellent oral and written communication skills
Ability to work in a fast paced, customer service environment with patience, flexibility and attention to detail
Proficiency with MS Office Suite, Internet, and other programs as needed (mail merge, data base management)
Demonstrated ability to recognize and appropriately handle matters of a confidential nature
Professional, courteous demeanor and appearance; ability to work professionally with students, faculty, staff and administration and represent the College professionally to the public
Ability to perform library and community research
Cultural competency to work with diverse student and/or employee population
