The Campus Activities and Programs (CAP) Center Administrative Assistant reports to the Associate Dean of Students and provides support to CAP Center professional staff including the Associate Dean of Students, the Director of Outdoor Education and Leadership (OEL), the Director of Campus Activities and Student Media, and Assistant Directors of Campus Activities and Programs in the daily operation of the office. Additionally, the CAP Center Administrative Assistant creates marketing materials, inputs events into the Events Management System, and prints CAP Center and student organization materials for campus events. The Administrative Assistant oversees the Elaine Langone Center Box Office, Student Mall Sales, and CAP Center Student Ambassadors. They will also assist the Associate Dean of Students and CAP Center staff in important divisional responsibilities, such as assessment, pre-orientation coordination, and financial processes. Responsibilities include the implementation of social events and leadership development programs for the campus community including the publicity and contract preparation for each event. The Administrative Assistant handles sensitive and confidential information in a professional manner. The successful candidate will have the ability to work with and support diverse students, student groups, staff and faculty.
Job Duties: Marketing -Create, design, and coordinate marketing materials for Campus Activities and Programs events, including assisting with social media marketing. -Monitor and manage campus-wide digital screens. Print signage for CAP Center and Student Organization events.
Risk Management/Judgment/Confidentiality -Maintain confidentiality of student information and records. -Operate from a student-centered model that is friendly, welcoming and compassionate. -Demonstrate a high level of adaptability, confidentiality, professionalism, and integrity. Supervision -Supervise ten student staff, including the hiring, training, scheduling, and evaluation of the Student Ambassadors and Mall Sales staff. Financial Management -Responsible for inventory of the CAP Center office supplies including tracking usage and ordering replacement products. -Process box office ticket sales for Bucknell students, staff, alumni, and community members. -Produce office and student organization budget summaries and transactions. Responsible for oversight of the Elaine Langone Center Student Mall sales. -Coordinate student organizations Mall Sales contracts, serve as a resource to student employees and Mgmt 101 classes, reconcile weekly sales, and deposit money at the Finance office.
Internal and External Constituent Relationships -Develop and maintain positive communications with campus partners and external community partners, including but limited to Public Safety, Dining Services, Events Management, Alumni Relations, and the Weis Center.
Administration and Planning -Manage the daily front office operations of the CAP Center including, but not limited to, answering student and parent phone calls, responding to inquiries including answering emails and managing walk-ins. -Assist in the coordination of the ongoing development of the current information systems and implementation of new system(s), including Anthology's Engage platform and the box office ticketing system. -Oversee the coordination and management of CAP Center key distribution, the key database, key cabinets, lock changes and record keeping for lost keys including providing charges to student accounts for lost keys. -Assist with summer programming, including the supervision of summer student programmers and budgets. -Review and disseminate CAP Center mailings, media, and promotions. -Schedule meetings and appointments, coordinate schedules and event spaces, including the schedule and upkeep of the Student Seminar Conference room, the Student Hearth Space, fire pits, the Bison, and BSG digital signs. -Provide primary support to the CAP Center staff, including the Associate Dean of Students, CAP Director, and Director of OEL. -Schedule all CAP Center office meetings and prepare agendas. -Respond to and review assessment reports, marketing material, and administer CAP Center payment processes. -Assist the staff and student organizations with event planning, including publicity, reserving space, ordering dining needs, and preparing materials. -Assist staff in contract preparation to prepare for distribution of appropriate information to those responsible for the event. -Process online and in person registration, waivers, and scheduling for CAP Center and OEL events, such as BuckWild, ClimBucknell, Bison Bikes, bus trips, adventure trips, and OEL software for equipment rentals. -Assist with the management of the Pre-Orientation program correspondence with BuckWild and Design Thinking Leadership programs. -Serve as secondary CAP Center contact for Anthology's Engage platform (the Involvement Network). -Assist with the management, scheduling, and assessment for BU Tastings programs. -Assist the CAP Center staff with correspondence, scheduling, travel arrangements, and other events associated with record keeping. -Assume other duties and projects as assigned.
Minimum Qualifications: -High School diploma -Three years of progressively more responsible administrative positions -Solid customer service skills, as well as the ability to work effectively in an active work environment. -Proficiency with Microsoft Office and Google drive, with the ability to learn new programs including Event Management System (EMS), Anthology's Engage platform, reporting systems, Canva, and website maintenance. -Strong interpersonal skills and a desire to work with diverse, energetic, talented, college age students. -Excellent oral and written communication skills. -Demonstrated organizational skills including the ability to work independently or in a group. -Ability to multi-task and manage multiple deadlines. -Ability to handle confidential or sensitive information in a professional manner.
Preferred Qualifications: -Bachelor's degree. -Previous work experience in a higher education setting.
Work Type: This is full-time benefits eligible position.
This role is not budgeted for visa sponsorship at this time, all candidates must be authorized to work in the US at the time of submission of the application.
Salary Range: This is a staff, non-exempt position with a hiring range of $17.03 - $21.29. The offer rate will be based on a review of the candidate's credentials compared to the qualifications of the position, internal equity, and our overall compensation philosophy.
