The Assistant Director for Operations is a full-time Student Life professional within the Alvarez College Union reporting to the Director of the College Union and Student Activities. The College Union seeks to advance community on campus by fostering interactions between students, faculty, staff, and guests through creative, inclusive, and educational spaces, services, and programs. The Assistant Director is an integral part of the Division of Student Life responsible for the daily operations of the Alvarez College Union. The 80,000 square foot multipurpose facility includes four meeting rooms, a very active event space, a sky-lit atrium, student organization offices, a fitness center, information desk, and ticket office. Offices in the facility include student activities, civic engagement, the outdoor program, chaplains’ office, center for diversity and inclusion, career development, post office, print center, and ID office, tech services, and the main campus reservations office.
The Assistant Director oversees all aspects of the daily operations of the Alvarez College Union and its services. This includes coordination with Physical Plant building services, project crew, and engineering shops for building maintenance and event support ensuring that the College Union remains clean, safe, properly maintained, functional, and inviting. The facility is open 108 hours a week during the academic year and supports over 2,000 reservations over the course of a year. The Brown Atrium of the College Union also serves as the lobby space for the 600 seat Duke Family Performance Hall which hosts 50+ performances each year. The Duke Family Performance Hall is staffed by the Technical Services office on the College Union team.
The Assistant Director selects, trains, supervises, and evaluates over 50 student employees who work in various roles across the facility including the information desk, the fitness center, the front of house, and building managers. Student employees provide the majority of staffing throughout the building and are an integral part of our student development goals at the College Union.
In addition, the Assistant Director oversees the strategic priorities for capital project requests and implementation for the facility, relationship development with staff offices who occupy space in the facility, and relationship development with student organizations who have office space or locker space in the facility.
The Assistant Director oversees all aspects of emergency management and planning for the College Union which includes educating student and non-student staff on emergency procedures, providing for a safety plan which responds to different causes, and maintaining good working relationships with Campus Police and local fire department personnel.
The Assistant Director supervises two staff members: the Operations Fellow and the Event Reservations Administrator. The Operations Fellow selects, trains, supervises, and evaluates a team of student employees who staff the College Union Ticket Office which provides ticket sales for over 75 events in the Duke Family Performance Hall and other venues in the College Union and across campus. The Operations Fellow also manages the Etix Software platform for ticket sales in advance of and on the night of shows. The Event Reservations Administrator manages the event scheduling office in the College Union which handles over 2000 space reservations each academic year. Currently employing the Event Management System software, the office is responsible for troubleshooting conflicts, managing student, faculty, and staff requests for space in the College Union and many other spaces across campus.
Essential Functions
Student Employee Development

Professional Staff Supervision

Physical Setup and Resources for Events
Provide for event/room setup and resource needs to include making arrangements for support personnel. Work in tandem with the Technical Services office of the College Union to coordinate event support inside the College Union and occasionally across campus.
Fitness Center Operation Oversight
Oversee/manage the Fitness Center, including provision for bi-monthly preventive maintenance service, repair, and replacement of equipment.
Information Desk and College Switchboard
Oversee the Davidson College main switchboard and information services at the Information Desk, including provision for student organizations using credit card services for fundraisers. Provide clear standards and expectations to customer-oriented student and support staff which demonstrates an understanding of the role of the College Union and present themselves in a professional and welcoming manner.
Facility Partnership Development
Work with the Physical Plant to coordinate the work of the building service custodial workers to ensure the facilities of the College Union are clean, operational, and properly maintained by establishing appearance and cleanliness standards for the facility.
Coordinate with the Physical Plant concerning maintenance of the College Union building. Serve as the principal contact for all entities within the Union in this regard. Ensure that all facility repairs, improvements, and renovation needs are addressed.
Education and Experience Requirements
Bachelor's degree is required.
Master’s degree in higher education administration or similar field is preferred.
Minimum 3 years work experience. Other work experience may substitute for some of the education requirements. Experience in managing a broad array of areas and responsibilities relative to student life services; experience working in a student life setting; familiarity with student development theory and understanding of the higher education enterprise; broad base experience managing a large student work force to provide essential student life services in a small liberal arts college setting.
The ability to attend to details with accuracy and to handle numerous tasks simultaneously is required. The ability to compose written communications, guidelines, and procedures, as well as the ability to clearly communicate verbally is required. The ability to use modern software applications and comfort with database usage is required.
